Posting Summary
Rutgers University-Camden seeks a new Program Coordinator I. This is a full-time professional staff member reporting to the Assistant Director of Campus Center and Center for Student Involvement.
The Program Coordinator I is guided by and in support of the mission of Rutgers University and the Division of Student Affairs (Camden Campus), works under the direct supervision of the Assistant Director of Campus Center and Center for Student Involvement, focusing on the areas of student involvement and student organizational development, and the personal development of our student organization leaders. The Program Coordinator I will be responsible for training, advising, and supporting all our recognized student organizations (excluding Greek-lettered social and cultural fraternities and sororities and School of Law student organizations), ensuring compliance with university policies and procedures, and will provide comprehensive direction and guidance as student leaders and organizations form, re-form, plan programs and events both on and off-campus, and more. The Program Coordinator I of Student Involvement and Organization Development is responsible for advising all recognized student organizations on all relevant university policies with a strong focus on the areas pertaining to event management (including risk management, insurance, and liability), purchasing and procurement, trademark licensing, and the university's visual identity. There are currently more than fifty active, recognized undergraduate student organizations at Rutgers University-Camden, totaling more than 300 students affiliated with our student organizations, with organizations representing the academic, professional, social, hobby, cultural, and faith-based interests of our student body. The Program Coordinator I ensures all organizations are compliant with university policy while supporting the individual missions of each organization. The position serves as the primary liaison for all recognized student organizations (undergraduate and graduate, not including the School of Law) with key offices on campus, including the Events Office, Shared Services, RUPD, Trademark Licensing, and more. Recognized student organizations serve a critical role in the development of an engaged student body and promote the idea of self-empowerment through student leadership; these students are greatly involved in the campus community as students and as alumni.
The Program Coordinator I is responsible for being knowledgeable of and complying with best practices about risk management, assessing and maintaining appropriate electronic databases of student leaders, participating in staff training and meetings, and participating on committees and other programs promoting student activities on campus.
The Program Coordinator I will collaborate with many offices, departments, and units across campus, providing administrative vision, leadership, and support to a variety of campus-wide events. The Program Coordinator I will develop and implement effective event management for programming that meets the social, cultural, and educational needs of our student body. This position requires vision, energy, flexibility, the ability to work nights and weekends, strong database management, student supervision, and a commitment to training students and staff on university policies and procedures, best practices in student organizational development in higher education, and the use of new technology.
The Program Coordinator I will have an abiding concern for and commitment to serving the diverse needs of the Rutgers University-Camden community, student development, and the active promotion of an inclusive, civil, and respectful environment while focusing on areas of event planning and management, student leadership, risk management, and liability, and organizational development. The work of this position will require high levels of strategic planning skills to ensure department operations and outcomes support the Division of Student Affairs and the institution's mission, vision, and strategic priorities. This position requires energy, flexibility, the ability to work nights and weekends, a strong database management background, best practices in student organizational development in higher education, and the use of new technology.

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22, this position requires a fully on-site work arrangement and may be eligible for a compressed workweek or a flex workday schedule. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
Minimum of a bachelor's degree or equivalent combination of education and experience plus 2 years of experience required.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
Minimum of a bachelor's degree or equivalent combination of education and experience plus 2 years of experience required in higher education/student affairs, including graduate school programs, preferred with experience advising student organizations, large-scale program development, and risk management compliance; demonstrated supervisory experience with student organizations; experience with programming and working with reservation/event software, ideally EMS; willingness to achieve desired learning outcomes and flexibility; high computer literacy with ability to master new computer software applications.

  • Risk management and liability mitigation and preventative education around issues of leadership, communication, and conflict management.
  • Event management, operations management, and student leadership expertise.
  • Demonstrated expertise in the areas of programming, advising, budget management, and the development of training programs.
  • Excellent oral and written communication skills as well as organizational skills.
  • Must work well under pressure in a fast-paced, time-sensitive, event-driven environment with shifting priorities and multiple deadlines.
  • Experience with Microsoft Office suite, Adobe, and Google Suite.

Preferred Qualifications
Master's Degree, preferred within the fields of higher education, organizational development, leadership, or related fields.

  • Ability to meet assigned objectives and goals within specified time periods.
  • Ability to function independently, professionally, and ethically.
  • Knowledge of fiscal accounting and personnel management.
  • A thorough understanding of the complex operations and structure of a university.
  • Candidate must demonstrate a high degree of flexibility and evidence of ability to manage multiple tasks and set priorities.
  • Must possess a general understanding and knowledge of university policies and procedures as they relate to recognized student organizations.
  • Requires tact, courtesy, common sense, excellent people-to-people skills, and a commitment to customer service.
  • Experience with EMS (Event Management Software) and Engage software.

Equipment Utilized
Maintains familiarity with desktop computer, EMS Software, Kronos, Microsoft Office (Excel, Word, PowerPoint, etc.), Fax, Copier, Anthology, Inc.'s Engage, EAB/Navigate, and Google Suite.
Physical Demands and Work Environment
The Program Coordinator I works in an open-office environment, with multiple professional staff members sharing the space and so must manage the environment accordingly. The position occasionally requires evening and weekend work.
