Carnegie Mellon University is dedicated to creating and disseminating knowledge through research. The Office of Sponsored Programs (OSP) contributes directly to this mission by providing comprehensive support to faculty and staff in the administration of externally sponsored research. OSP's primary functions include proposal review, approval, and submission, contract negotiation, award acceptance and processing.

Our Awards team is searching for a Awards Administrator. This is an exciting opportunity for someone who thrives in an interesting and challenging work environment. You will contribute to the department by providing critical support by reviewing all awards received on behalf of the university to ensure necessary review by internal compliance departments; proactively provide support for Principal Investigators, business managers, research administrators, finance, and OSP contracting staff.

Core responsibilities will include:

  • Award Account Preparation and Transfer: Prepare transfer packages for all Federal and Non-Federal agreements and transfer award paperwork to appropriate accounting offices for account set up and cash management; coordinate with Sponsored Project Accounting to address At Risk Awards list and support invoice process to assist with cash management issues.
  • Review of All Federal Awards: Review all incoming federal assistance awards on behalf of the university for acceptability of terms and conditions and budget details; review cost sharing requests for appropriate approvals and any needed follow up; ensure compliance with applicable regulations and university policies and procedures; act as liaison between the University and the government during the cost and pricing phase prior to receiving final awards; identify discrepancies and notify the appropriate parties of necessary changes, additions or deletions (including any required protocol (e.g., humans subjects, animal subjects, rDNA) and disclosures (e.g., conflict of interest) required; coordinate with other university departments to resolve compliance, budgeting and other issues with PIs to ensure agreement with technical provisions; advise business managers and principal investigators regarding agency or sponsor communication during the award process
  • Review and Processing of On-going Federal and Non-federal Award Documents: Coordinate with Contracts Officers and Award Manager on review, submission, and processing of all modifications, supplements, no-cost extensions and any other changes to existing grants and contracts as needed
  • Support to University Constituencies: Provide informational assistance to business managers, principal investigators, and others; assist business managers and principal investigators to meet agency and sponsor deadlines: provide PI with any materials received from federal agencies and/or other sponsors, and relay any specific instructions or restrictions that pertain to awards; provide information to and coordinate with Contracts Officers, Subcontract Administrator, Compliance, Risk Management, Sponsored Project Accounting, Cash Management and any other university offices as may be needed to ensure smooth transition for all awards from OSP to completion of award set up process.

  • Ability to pay attention to details and strong communication skills

Qualifications:

  • Bachelor's degree; Master's degree preferred
  • At least three years relevant experience in Research Administration
  • Or a combination of education and relevant experience from which comparable knowledge
