Pay Rate/Range: The budgeted range the University reasonably expects to pay is $58,600 -$62,000/yr. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range is $58,600 -100,800/yr.

Days/Hours: M - F; 8:00 am to 5:00 pm, some evenings and weekends

Brief Summary of Job Duties

Operating under the general supervision of the Office of Education Partnerships (OEP) Executive Director, the Program Coordinator will have responsibility for the planning, design, implementation and quality control for K-20 initiative in collaboration with K12 Partner Schools, as well as, with local community colleges attended by program participants. Specifically, the Program Coordinator will develop and manage K-20 initiative services and provide support to other academic preparation programs (including UCSB-Smithsonian Scholars Program, UCSB Destination College Advising Corps, UCSB MESA, and undergraduate support programs) under the Office of Education Partnerships. Program services will include academic and cultural enrichment, college-bound advising, mentorship, and community service resources to students and families enrolled in the Office of Education Partnerships academic preparation programs.

Develops and manages all aspects of this program for participating K-20 students, including the supervision of career and undergraduate staff. Establishes and maintains regular contact with the OEP Executive Director and staff, partner school district personnel, community agencies, as well as works closely with key staff to ensure the integrity and adequacy of data collected. Assists with the preparation of annual and interim reports, provides support on K-20 student data collection as required by the campus and other funding entities.

Required Qualifications

  • Bachelor's Degree in science, technology, engineering, or mathematics (STEM) background or major, or equivalent experience/training or Bachelor's Degree in related area and/or equivalent experience and/or training.
  • Computer skills and knowledge of common software programs sufficient to complete assignments (e-mail, Word, Excel, Google Applications etc.)
  • Able to stand and sit for long periods of time.
  • Able to lift/carry objects (0 - 20 lbs.) for periods of time.

Preferred Qualifications

  • 1-3 years of experience in data management, data queries, and/or reporting.
  • 1-3 years of experience in establishing and maintaining effective working relationships with peers, faculty, students, administration and other interested parties.
  • 1-3 years of experience in presenting information to groups of students or other audiences.
  • Significant experience advising and supporting educationally disadvantaged students regarding postsecondary opportunities and careers.
  • Strong communications (verbal and written) and interpersonal skills.
  • Ability to establish and maintain cooperative relationships with school district administrators, school counselors, principals, teachers, and community contacts.
  • The Program Coordinator must possess: Strong knowledge and experience working with educational equity programs serving a diverse student population. Strong knowledge of up-to-date information on K-12 and higher education policies and issues and ability to assess their impact on program strategies. Knowledge of K-12 and higher education institutions (UC, CSU, CC, etc.), admissions and financial aid requirements, and the ability to interpret policies and procedures to youth, Job Standards, and school representatives.
  • Demonstrated cultural competency with respect to race, ethnicity, and socio-economic status.

Job Functions/Percentage of Time/Duties

PROJECT ADMINISTRATION & ORGANIZATIONAL SUPPORT (50%)

PROJECT ADMINISTRATION: Working under the general supervision of the OEP Executive Director, the Program Coordinator will provide academic services, leadership; counseling, and administrative and organizational support to OEP enrolled students, parents and families to promote academic success to students participating in OEP academic preparation and support programs.
Specifically, the Coordinator will work directly with partner school leadership, college partners, and faculty, to develop and implement K-20 initiatives. The Academic Preparation Programs have the following components, which would be implemented and managed by the Program Coordinator:

ORGANIZATIONAL SUPPORT: Work closely with OEP Executive Director to identify internal and external funding resources and to develop regional K-12 partnerships that support long-term program sustainability.

COMMUNICATION & COORDINATION (20%)

The Program Coordinator will ensure effective and ongoing communication between mentor staff and among students and families participating in K-20 initiatives and other OEP academic preparation and support programs, school and community leaders. To accomplish this, the Program Coordinator will:

  • Communicate on a regular basis with school personnel including K12 leadership (superintendents, principals, counselors, and teachers) and community college faculty and administrators, to organize programs and events.
  • Meet regularly with the OEP Executive Director, and Evaluation and Program staff to assess program progress.
  • Prepare written updates for OEP Executive Director to keep them informed of project progress; communicate with staff of university programs to bring resources to participating students and families.
  • Coordinate programs and interact with partner organizations including but not limited to the K-16 Central Coast Education Collaborative, Chancellor's Outreach Advisory Board, UCSB-Smithsonian Scholars, DCAC, MESA, CC outreach units, and other community and university programs.
  • Assist in writing and preparing progress reports and making presentations on K-20 initiatives, UCSB Smithsonian Scholars, and other OEP academic preparation and support programs for a variety of audiences including college and university representatives, school leaders, parents/families, and community groups.

GRANT DEVELOPMENT (10%)

Working closely with the OEP Executive Director, the Evaluation Staff, the Program Coordinator will search and develop proposal for funding initiatives; provide program data to be used in grant proposal and assist with writing the grant as needed.

EVALUATION & DATA COLLECTION (10%)

In close consultation with the OEP Evaluation staff and OEP Executive Director, the Program Coordinator will be responsible for tracking the academic progress of participants in K-20 initiatives to document the effectiveness of all program components and appropriate alignment with UC and UCSB academic preparation outcome goals. These activities will include:

  • Coordinate with K-12 and university/college personnel to gain access to all participating students' academic files.
  • Collecting student grades, test scores, course placements and other relevant indicators of student academic achievement to assess and make recommendations for supplemental academic support needs.
  • Collect, analyze and prepare summaries of data for purposes of acquiring external funds (grants).
  • Participate and assist with any related evaluation and data collection activities undertaken by internal and external evaluators, including graduate students and faculty.

PROGRAM REPRESENTATION (10%)

Represent the Office of Education Partnerships at various community events, committee meetings, and on campus and UC system wide advisory and working groups as assigned.
