The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Program Coordinator reports directly to the Program Manager and provides direct administrative support to the Program Manager and Chief Well-Being Officer. The incumbent supports and coordinates the daily operations of the Office of Well-Being and will collaborate with CUIMC leadership, administration, faculty, staff, and external stakeholders to triage competing priorities in multiple job domains.

The incumbent assists leadership in developing and ensuring optimal faculty, trainee, and staff experience. To best serve the CUIMC community this individual must have the ability to adapt to changing priorities and expanding initiatives.

Responsibilities

Operations: The Program Coordinator is responsible for daily maintenance of operations of the Office of Well-Being.



  • Coordinates the scheduling of Office of Well-Being meetings as well as external meetings with stakeholders, departmental leadership, and others as requested. This may include identifying and reserving meeting space.
  • Acts as a scribe at departmental action plan meetings and follow-up on open items identified during the discussions.
  • Takes and distributes meeting minutes for quarterly large group meetings and at meetings with key stakeholders as requested.
  • Supports CopeColumbia by screening and scheduling participants into CopeColumbia initiatives, managing administrative tasks, and providing meeting and event coordination.


Strategic Partnerships: The Program Coordinator serves as the administrative liaison for the Office of Well-Being.



  • Collaborates in the coordination of initiatives and programs and maintains strong working relationships with members of the CUIMC and NYP community.
  • Participates in planning and guiding projects; this requires strong communication and collaboration with key stakeholders through all stages of initiation, planning, implementation, and execution.


Reporting & Technology: The Program Coordinator is responsible for maintaining program dashboards.



  • Tracks, validates and reports program metrics, and offers opportunities for enhancement.
  • Serves as the web master for the Office of Well-Being website and collaborates with the Office of Communication and CUIMC IT.
  • Must remain abreast of advancing technology and methodology in the delivery of well-being programs and initiatives.



Cross covers other related administrative positions and performs other duties as assigned.

Minimum Qualifications



  • Bachelor's degree or equivalent in education, training and/or experience plus at least three years related experience required.


Preferred Qualifications



  • Proficiency with Microsoft Office Suite, including Outlook, PowerPoint, Excel, Visio, and Word strongly preferred

  • Must work independently and have sound judgement in decision making, with ability to effectively prioritize and execute tasks.
  • Must possess excellent written and oral communication and interpersonal/organizational skills.
  • Must possess excellent customer service skills.
  • Ability to elicit cooperation, lead, motivate, and direct a variety of sources including workgroups, team members, and other departments.
