Job Overview

Responsible for imaging loan files as well as miscellaneous documentation into the Nautilus imaging system; daily monitoring of folders in the shared documents drive that require electronic documents to be moved into Imaging; following up on inquiries from Credit Administration or Auditors pertaining to imaged documents; preparing and mailing HELOC disclosures, credit score disclosures, consumer decline and counter letters; ordering vendor work.


Principal Accountabilities

Image commercial and consumer loan files and miscellaneous trailing documentation that are received post-closing, preparing and mailing out consumer disclosures and ordering vendor work. Support Credit Administration and Auditors as needed. Represent the Bank to both internal and external customers in a courteous, professional manner in face-to-face, written and telephone communications. Accountable for adherence to compliance standards including Bank Secrecy Act (BSA), as well as quality of documentation, timeliness and volume of loans closed. Actively protect confidentiality of customer and account information. Demonstrate Horizon Bank's commitment to the communities in which we serve through active involvement in local organizations and events.


Duties

  • Receive commercial and consumer loan files as well as trailing documents to Image.
  • Organize and file consumer loan files in the consumer vault after documents are imaged and verified for accuracy.
  • Receive titles to Image and file after Imaging.
  • Request the Imaging Missing Doc Report on a monthly basis and work the report to clear any missing items and/or ticklers.
  • Monitor the "Docs to be Moved to Imaging" and "Draw Docs to be Moved" Folder and move into Imaging on a daily basis.
  • Order vendor items, including but not limited to Appraisals, eValueworks, Automated Valuation Model Report (AVM), Title work, Flood Certificates, and cancelling title work.
  • Breakdown and maintenance of declined/withdrawn consumer files.
  • Prepare and mailing HELOC disclosures, credit score disclosures, consumer declines and counter letters following the Standard Operating Procedures. Monitor DocPrep email for HELOC disclosures, title work and appraisal requests.
  • Provide back up support for other team projects as needed.
  • Report suspicious transactions or unusual occurrences to supervisor.
  • Perform all work in compliance with established regulations, policies, Standard Operating Procedures (SOPs), and instructions.
  • Maintain customer confidence and protect bank operations by keeping information private and confidential.
  • Participate in ongoing skill, compliance, risk management and security training as required for the position and apply knowledge in daily tasks.
  • Other duties as assigned.


Qualifications & Skills

  • High school diploma or equivalent with a minimum of 2 years' experience processing consumer and home equity loans.
  • Knowledge of agency guidelines and industry standards as they relate to consumer and mortgage lending is helpful
  • Exceptional organization, time management and follow-up skills. Excellent interpersonal skills and ability to communicate effectively with customers, bank employees and outside service providers.
  • Ability to follow detailed instructions and a wide range of procedures requiring sound judgement.
  • Ability to perform complex mathematical computations using various business machines and/or computers.
  • Must have proficient typing and computer skills.
