Job Summary
Hospital Access Services is responsible for hospital registration, admissions, emergency department arrivals and financial counseling. This position will serve as the direct report for the Emergency Department Financial Counselors and department administrative support staff. Provides guidance to support staff. Directs subordinates to complete assignments using established guidelines, procedures, and policies. Recommends new and revised procedures as needed.The Patient Access Services Supervisor is accountable for all unit activities and is expected to be an informed resource understanding the details of the department and its level of performance. The incumbent takes a hands-on approach to maintaining appropriate staffing levels within the unit on all shifts. The incumbent is responsible for completing quality reviews, providing employee feedback, maintaining employee documentation, and providing timely performance management to staff. - Bachelor's degree in a related field and/or a combination of experience, education and/or training required
- Previous leadership experience required
- Experience working in a hospital setting
- Epic (EHR) Experience
- Demonstrated supervisory, organizational, and customer service skills to effectively supervise and prioritize the activities of subordinate staff, and to manage the complex workflow and multiple priorities of admissions and registration.
- Demonstrated ability to work effectively with all levels of management as well as with clinical care providers, administrative and business personnel, and other stakeholders on issues related to patient admissions, registration, and financial counseling.
- Skills to assess learning needs of staff and to participate in their training and development to promote growth within their position and the University.
- Strong verbal communications skills, with the ability to effectively motivate others and to convey complex information in a clear and concise manner.
- Written communication skills to compose letters, merit evaluations, reports, policies and procedures, and Situation Response Guidelines that could include medical, financial, and administrative information clearly and concisely.
- Extensive knowledge of healthcare insurance systems: including HMO, PPO, Federal Government programs, State programs, Third party liability, and Charity Care.
- Ability to apply insurance knowledge to accurately complete quality reviews, compile, and update training material, provide team training, and review and report outcomes related to payor information.
- Knowledge of county contracts; third party payer contracts, Title XXII, JCAHO and CMRI notification criteria. -Demonstrated knowledge of how these programs/regulations affect the functions and roles of the department; ability to incorporate them into departmental systems/processes.
- Ability to organize work to accommodate special projects, deadlines, and priorities.
- Skills to perform in-depth statistical analysis to provide accurate information in a concise informative manner and to identify/analyze problems or issues related to areas of responsibility, which includes patient throughput, registration, and admitting processes.
- Public speaking skills to effectively address a variety of committee, groups, and forums to educate, explain and respond to department functions.
- Personnel management skills to include developing position descriptions; recruiting, interviewing, and selecting employees; establishing performance standards, empowering employees; and holding them account pie, coaching, and evaluating employees; recognizing and rewarding staff; administering corrective action, and providing staff development and team building opportunities.
- Knowledge of staff personnel policies and regulations.
- Excellent interpersonal communication skills to interact with tact and diplomacy with administration, management, patients, physicians, and staff at all levels.
- Ability to engage in collaborative problem solving and negotiation with staff and colleagues.
- Ability to exercise discretion to ensure that patient, staff, and department confidentiality is always maintained in a professional and respectful manner.

Department Overview The incumbent monitors maintains and/or accelerates departmental performance from both quality and productivity aspects. The incumbent is responsible for facilitating all staff training, as identified in the job description. The incumbent is responsible for promotion of interdepartmental communication, promoting and supporting teamwork amongst all teams.Involves the management and administration of patient registration, pre-admissions and admissions, transfers, insurance eligibility and authorization, and financial counseling. Services are provided in a variety of environments, such as the emergency department, hospital admissions, birth center, ambulatory care clinics, surgery centers, laboratory and radiology services. Functions are provided in concert with clinical and business departments across the organization, to ensure efficient patient flow and to maximize revenue collection.
