The Administrative Specialist performs a wide variety of specialized clerical and administrative support duties for the Judicial Enforcement Division. Tasks performed are often complex or sensitive in nature. This position uses independent judgment within guidelines, department policies, and procedures and may be required to interpret operating procedures and policies of the division to lower-level staff.

Position Qualifications

Education

  • High school diploma or GED

Experience

  • Two (2) years of experience performing office, administrative, or clerical duties.

OR

Combined education and experience qualifications

  • Other combinations of post-secondary education or experience may substitute for the minimum qualifications on a year for year basis.

Other requirements

  • Must possess a valid Arizona driver's license or have the ability to obtain by the time of hire.
  • Training that may be provided on-the-job: FEMA NIMS - IS100 and 700; Safety; Payroll; PREA.
  • Ability to type at least 35 words per minute as a condition of employment. Typing certificates obtained or available on the Internet are not acceptable for verification of typing speed.
  • Prior to hiring, the Sheriff's Office requires that all candidates pass a background review.

Essential Job Tasks

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)

  • Provides direct administrative support to the Judicial Enforcement Division Commander.
  • Provides a variety of moderately complex customer service via the telephone, email, or in person.
  • Responds to inquiries and concerns from the public and other agencies.
  • Comprehends the Arizona Revised Statutes and local ordinances that directly impact the Judicial Enforcement Division and may interpret for other staff as required.
  • Creates, updates, and maintains moderately complex spreadsheets, databases, and reports.
  • Prepares and reviews complex specialized documents, forms, letters, and memorandums ensuring accuracy and completeness.
  • Maintains calendars and schedules activities and appointments.
  • Implements and maintains files and databases (e.g., office budget, division inventories and files, personnel lists, key inventory, other sensitive reports) for the Judicial Enforcement Division; provides tracking/follow-up.
  • Attends meetings, takes minutes, generates reports, and distributes to appropriate personnel.
  • Inventories, orders, and stocks supplies for the division.
  • Performs specialized administrative work including reviewing and verifying information.
  • Reviews, logs, and electronically files correspondence and mail.
  • Assists with updates to Division operations manual.
  • Coordinates with facilities maintenance and other vendors for notice and repair requests needed within the division.
  • Provides administrative support to the Court Security Division Commander as directed.
  • Trains and directs the workflow of lower-level administrative staff reporting to the Court Security Division.
  • May drive a vehicle to retrieve supplies and documents from various County locations.
  • Performs other duties as assigned.
