What is the role about?

The Project Documentation Coordinator is responsible for collecting, organizing, and delivering accurate documentation packages that meet customer and contractual requirements. This role works closely with internal teams, customers, and suppliers to resolve documentation needs, manage revisions, and ensure timely completion of required project documents. It is a detail-oriented, customer-focused role that helps support a smooth project delivery experience.

Which tasks will you perform?

  • Evaluate customer needs including vendor documents and data requirements, determining the path forward to deliver within the appropriate scope.
  • Collect and maintain documentation packages, ensure transmittal of documents to customers after careful examination of document completeness, accuracy and conformance to standards and specifications of the customer.
  • Coordinate with internal stakeholders to resolve documentation challenges and drive successful completion of documentation packages within the required timeline
  • Compile required amendments to documents as well as monitor and control document revisions including changes.
  • Triage incoming documentation tasks across systems and programs, taking action to resolve issues and expedite items as needed.

What do we expect from you?

You will have (required):

  • High school diploma, GED
  • Detail-oriented with a commitment to accuracy, capable of utilizing critical thinking to ensure precision in tasks
  • Proficient in digital tools and systems, including Office 365, CRM platforms, databases, and PDF tools

You may have (preferred):

  • Experience with document management systems such as Aconex, Procore, DocBoss, and/or TeamBinder
  • Ability to work and make informed decisions independently and on own initiative
  • Prioritizes the customer perspective in business decisions by actively seeking to understand customer needs and problems, initiating solutions based on this understanding, and implementing feedback to enhance the overall experience and prevent future issues
