This position's main responsibilities include implementing systems in the office to maximize functionality and quality of care while maintaining the highest standard through leadership and collaboration. Ownership of this position will allow for effective systems and processes that in turn fosters relationships, team building and delivers long-term growth. The role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and leadership.


Ideal candidates must have a strong attention to detail and great analytical skills.


Essential Duties and Responsibilities:



  • Front desk daily operations


  • Fielding phone calls
  • Greeting customers & vendors


  • Daily Production Report
  • Processing and distributing new orders.
  • Processing related documents for vehicle sales


  • Altered Tags and Federal Tags
  • MSO's (Chassis and Upfit)


  • Logistics


  • Receiving vehicles
  • Shipping vehicles


  • Warranty Registrations
  • Reviewing time sheets
  • Onboarding new employees
  • Receiving items into computer system
  • Daily, weekly, monthly & annual office and sales reports
  • Updating various company related spreadsheets and documents.
  • Participating in weekly & quarterly meetings
  • Filing


  • Performs other duties and responsibilities as assigned.



Skills:



  • Knowledge of office administrator responsibilities, systems, and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, and QuickBooks in particular)
  • Hands on experience with office machines (e.g., fax machines and printers)
  • Familiarity with email scheduling tools
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements.
  • Strong Attention to detail and good analytical skill
