I. JOB OVERVIEW






Job Description Summary:
The George Washington University Elliott School of International Affairs ( ESIA) is one of the world's leading schools of international affairs and one of the largest schools of international affairs in the United States. The Administrative Associate, Undergraduate Academic Advising, is responsible for the effective and efficient operations of the undergraduate academic advising office, including the supervision of the front desk staff, managing communications, ordering supplies, and tracking P-Card expenses and expense report reconciliation. The specific duties include:

Office Management & Operations:

  • Recruits, hires, trains, and supervises up to ten Front Desk Assistants (student-employees). Manages their schedules and workload.
  • Participates in the weekly leadership team meetings to develop the staff meeting agendas and discuss possible changes to improve office operations, processes and policies.
  • Maintains and updates internal personnel and advising documents and forms.
  • Oversees office supply inventory and ordering, tracking P-Card expenses, and submitting expense reports.
  • Monitors facilities and IT needs and submits tickets to get issues resolved.
  • Provides administrative support to position searches and office staff functions.


Communications & Events:

  • Maintains the undergraduate website to include making updates, creating new content and reviewing for ADA compliance.
  • Serves on the student communications committee and assists with the overall student communications and outreach plan.
  • Creates and sends the bi-weekly undergraduate academic advising newsletter and sends additional student communications via Constant Contact.
  • Coordinates various events for the Advising office and Elliott School including room reservations, marketing promotion, catering logistics, and onsite assistance.
  • Provides virtual meeting support as needed.

Advising Team Support:

  • Manages the academic advising online appointment scheduling tool.
  • Prepares and updates the semester calendar memo for the team - a document that includes important dates and deadlines, required events and advising expectations.
  • Collects, analyzes and presents student-advisor interaction data for the annual undergraduate advising report and to inform advising practices.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

This is a hybrid position with some days in the office in Washington, DC, and some days remote.
Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Experience with and enjoys supervising student-employees.
  • Experience managing an office and enjoys creating a welcoming environment for students and colleagues.
  • Experience with procurement card purchasing and expense reporting and reconciliation.
  • Experience supporting event logistics and overseeing vendors.
  • Experience with CRMs and data reporting systems.
  • Strong written communication skills. Experience with online newsletters, social media, and web content management.
  • Interest in higher education administration.

Hiring Range $26.82 - $34.89
