What you'll do and what you'll bring:

Position Function:

Provide accounting, fund administration, financial operations, and stewardship support to the Foundation Finance Team for the Ball State University Foundation and its related entities. This position is responsible for monitoring and administering Foundation funds, ensuring compliance with donor intent and fund agreements, and Foundation policies. Responsibilities include reviewing and processing fund disbursements, supporting financial reporting and audit activities, maintaining effective internal controls and assisting in the stewardship of Foundation assets. The successful candidate will apply accounting principles, analytical skills, sound judgement, and a strong service orientation to support the Foundation's fiduciary responsibilities and financial operations.

Duties and Responsibilities:

  • Administer fund disbursement withdrawal requests and serve as a steward of Foundation funds. Review withdrawal and payment requests for accuracy, fund availability, compliance with donor intent, fund agreements, and Foundation policies. Analyze, reconcile, and validate charges to ensure appropriate allocation and accounting.
  • Record transactions in the financial system, coordinate payment processing, monitor cash requirements, and communicate with vendors and internal stakeholders regarding disbursement-related matters for all entities. Provide supporting documentation to the Office of the University Controller on a monthly basis.
  • Interpret, analyze, and monitor Foundation fund agreements and related documentation to ensure expenditures and financial activity adhere to donor intent, fund restrictions, and available balances. Provide guidance and information to Foundation staff, campus partners, and other stakeholders regarding Foundation related transactions and procedures.
  • Prepare and maintain weekly and monthly cash flow projections related to fund disbursement and Foundation operating activities. Communicate regularly with the Foundation Controller regarding cash needs and funding requirements.
  • Support administration of Foundation credit card program by reviewing expenditures for business purpose, policy compliance, proper documentation, and accurate accounting treatment. Research discrepancies, resolve issues, and communicate with cardholders as needed.
  • Assist with the administration of the unclaimed property process for all entities, including monitoring outstanding items, processing voids and reissues, supporting state reporting requirements, and ensuring compliance with applicable laws and regulations.
  • Support annual Form 1099 reporting for all entities by reviewing vendor activity, analyzing transactions, validating classifications, and maintaining compliance with federal reporting requirements.
  • Support annual external audit and other compliance reviews by preparing documentation, responding to information requests, and maintaining audit-ready records in accordance with accounting standards and Foundation policies.
  • Identify, recommend, develop, and implement process improvements that enhance operational efficiency, strengthen internal controls, improve reporting accuracy, and support effective fund administration. Maintain written procedures and documentation related to assigned responsibilities.
  • Provide operational support to the Foundation Finance Team, including preparing correspondence, reports, and communications for internal and external partners.
  • Perform other related accounting, financial, fund management and administrative duties as assigned.

Minimum Qualifications:

  • Bachelor's degree in Finance, Business, or Accounting (or related) from an accredited institution, or equivalent combination of education and experience.

Additional Preferred Qualifications:

  • At least two years of experience in computer systems, accounting applications and related software, and databases
  • Knowledge of/experience with not-for-profit organizations and fund accounting
  • Excellent verbal and written communication skills; proficient with Microsoft Excel.
