Summary

To perform accounting and administrative duties required to issue, record, collect and budget for accounts receivables related to affiliate and clinical contracts.

Primary Responsibilities
  • Primary responsibility for the assessment and collection of student tuition, both Pharmacy and MSA. Interact with the Pharmacy and MSA Schools to determine tuition assessments and interact with Financial Aid to process student loan payments from lending agencies. Work directly with students to determine funds to be remitted for support costs.
  • Responsible for the collection of loan payments after graduation. Collection is performed in conjunction with a billing agency and may involve interaction with collection agencies and attorneys.
  • Responsible for ensuring MCW compliance with Federal lending agency requirements. Responsible for advising students of their responsibilities and options for consolidating, deferring or forbearing Federal and institutional loans. Perform exit interviews for graduating and withdrawing students.

  • Prepare journal entries as requested and needed to resolve processing problems or errors in student tuition account matters.
  • Responsible for the affiliate and clinical receivables processes, including:

a. Read and interpret affiliate contractual agreements.

b. Identification and establishment of cost centers, funds and awards needed to properly segregate accounting for complex, varied contractual agreements.

c. Preparation of invoices to affiliate and clinical organizations in accordance with contractual agreements.

d. Reconciliation of invoices issued to accounting ledgers. Identify discrepancies and unbillable expenses and work with departments to resolve.

e. Monitoring of open receivables and collection action.

f. Analysis of budget to actual expenditures to ensure adherence to contractual agreements.

  • Perform accounting and invoicing for the Zablocki Veterans Administration (ZVAMC) sponsored research contracts. Purchase orders are issued quarterly and accounting activities include establishing award installments, recording budget adjustments and quarterly account reconciliation.
  • Review and approve Payroll Reallocation forms for affiliate accounts.
  • Assist the Controller's Office with the month-end and year-end financial statement closing.
  • Prepare work papers, audit report schedules and footnotes for the annual external Single Audit and MCW Consolidated Audit relating to student tuition, student loans and scholarships.
  • Perform other affiliate and student activities, as assigned
Knowledge - Skills - Abilities
  • Advanced experience and working knowledge of student loan regulations, student information systems and student billing operations.
  • Excellent communication skills and the ability to listen critically and interact with individuals at all levels both within and outside the organization.
  • Advanced technology skills, including Excel, Word, automated accounting software, business intelligence cubes and related report writing tools is required.
  • Advanced critical thinking, problem-solving and analytical skills and the ability to work independently to assess available information, draw conclusions and understandings, and present such conclusions effectively to other parties.
  • Advanced organization skills and the ability to prioritize and stay focused on assigned priorities, work independently to meet internal and external deadlines and produce a consistently high-quality product.
  • Demonstrated ability to contribute in a team environment and provide customer service in a decentralized organization.
  • Demonstrated ability to show initiative, exercise judgment and adapt to change.

Qualifications

Appropriate experience may be substituted for education on an equivalent basis.

Minimum Required Education: Bachelor's degree in Accounting

Minimum Required Experience: 6 years


Physical Requirements

Work requires occasionally lifting moderate weight materials, standing, or walking continuously.

Work Environment

Occasional exposure to dust, noise, temperature changes, or contact with water or other liquids. Work is performed in an environmentally controlled environment.

Sensory Acuity

Ability to detect and translate speech or other communication required. May occasionally require the ability to distinguish colors and perceive relative distances between objects.
