The Wealth Management Administrator is responsible for delivering operational excellence, exceptional client service, and ensuring regulatory compliance in support of the Wealth Management team.

    Essential functions of the role:


    Operational Excellence
    * Identify and implement workflow improvements that reduce duplication and strengthen
    account and transaction administration.
    * Ensure accurate client records are updated and maintained in all relevant systems.
    * Coordinate with Wealth Advisor, Portfolio Management, Trust Operations, internal
    partners, and external providers to complete client and account activity.
    * Coordinate account opening, maintenance, transfers, distributions, tax-related requests,
    and closings in accordance with established procedures.
    * Assist in managing ticketing systems in collaboration with vendor partnerships.
    * Achieve proficiency in all trust department systems and tools.

    Client Experience
    * Serve as a primary service contact for routine client needs, acknowledging requests
    within one business day and coordinating timely resolution.
    * Support client meetings, communications, scheduling, documentation, and follow-up in
    partnership with the Wealth Advisor and client team.

    Compliance Integrity
    * Achieve and maintain near-zero compliance issues or audit findings by adhering to
    internal policy, process, and regulatory standards.
    * Assist in the development and refinement of trust procedures to ensure operational
    accuracy and compliance.
    * Support account controls, reconciliations, audit requests, and procedure maintenance
    as assigned

    Team Collaboration
    * Work closely with Wealth Advisors to improve client satisfaction and retention through
    timely communication, personalized service, and efficient issue resolution.
    * Anticipate needs, resolve routine issues, and bring forward recommended solutions
    when escalation is required.
    * Share knowledge, provide team coverage, and contribute to Wealth Management
    initiatives and special projects

    Other duties as assigned within the scope and responsibility of the job


    Requirements

    • High school diploma or equivalent required
    • Minimum of three years of prior administrative work in the financial industry (trust and investments experience preferred)
    • Effective communication, organization, attention to detail, Microsoft Office proficiency,and ability to learn Wealth Management systems and workflows.
