Inova Fairfax Hospital is looking for a dedicated Administrative Coordinator Senior to support our Chief of Vascular Surgery & Wound Healing. This role will be Full-Time, Monday-Friday, Regular Business Hours (Flexibility Needed).

Administrative Coordinator Senior Job Responsibilities:

  • Manages calendars, schedules meetings, and coordinates travel arrangements.

  • Prepares correspondence, reports, presentations, and meeting materials.

  • Maintains organized filing systems and ensures accurate recordkeeping.

  • Supports departmental operations, including supply ordering, invoice processing, and timekeeping.

  • Assists with onboarding and training of new staff or temporary personnel.

  • Coordinates logistics for events, trainings, and internal communications.

  • Serves as a point of contact for internal and external stakeholders.

  • Drafts and distributes communications on behalf of department leadership.

  • Facilitates smooth communication between departments and leadership.

  • Assists with data entry, tracking, and reporting for departmental projects.

  • Maintains spreadsheets, dashboards, and databases as needed.

  • Supports compliance with hospital policies and regulatory requirements.

  • Revises and drafts processes and procedures as needed to support efficient and effective department operations.

  • Tracks and monitors department budget.

  • Processes requisitions, invoices, and expense reports and other budget management and tracking activities as needed.

  • May perform additional duties as assigned.

Minimum Qualifications:

  • Education:High School Diploma or equivalent
  • Experience: 5 years of relevant office or healthcare experience

Preferred Qualifications:

  • Experience with administrative scheduling, calendar management, and meeting logistics

  • Proactive and self-directed, with the ability to anticipate needs

  • Strong customer service and interpersonal skills

  • Professional and poised when interacting with physicians, leaders, team members, and visitors

  • Strong organizational skills and attention to detail

  • Ability to manage multiple priorities in a fast-paced environment
