Administrative Coordinator Senior Job Responsibilities:
Manages calendars, schedules meetings, and coordinates travel arrangements. Prepares correspondence, reports, presentations, and meeting materials. Maintains organized filing systems and ensures accurate recordkeeping. Supports departmental operations, including supply ordering, invoice processing, and timekeeping. Assists with onboarding and training of new staff or temporary personnel. Coordinates logistics for events, trainings, and internal communications. Serves as a point of contact for internal and external stakeholders. Drafts and distributes communications on behalf of department leadership. Facilitates smooth communication between departments and leadership. Assists with data entry, tracking, and reporting for departmental projects. Maintains spreadsheets, dashboards, and databases as needed. Supports compliance with hospital policies and regulatory requirements. Revises and drafts processes and procedures as needed to support efficient and effective department operations. Tracks and monitors department budget. Processes requisitions, invoices, and expense reports and other budget management and tracking activities as needed. May perform additional duties as assigned.
Minimum Qualifications:
- Education:High School Diploma or equivalent
- Experience: 5 years of relevant office or healthcare experience

Experience with administrative scheduling, calendar management, and meeting logistics Proactive and self-directed, with the ability to anticipate needs Strong customer service and interpersonal skills Professional and poised when interacting with physicians, leaders, team members, and visitors Strong organizational skills and attention to detail Ability to manage multiple priorities in a fast-paced environment
