Your Role

As a Studio Coordinator on Gensler's Global Talent team, you will provide administrative, operational, and program coordination support for firmwide talent initiatives. Working closely with Global Talent leaders, regional leadership teams, and stakeholders across the globe, you will help deliver programs, manage communications, coordinate logistics, and support the successful administration of Gensler's Subject Matter Expertise (SME)/Strategic Hire Programs and other strategic people priorities.

This is a global role requiring collaboration with team members, leaders, and stakeholders across multiple regions, cultures, and time zones. What You Will Do

Team and Leadership Coordination:

  • Coordinate meetings, communications, events, travel, and project logistics for Global Talent leaders and firm-wide talent initiatives.
  • Support planning sessions, workshops, retreats, conferences, and other team activities, ensuring effective preparation and execution.
  • Prepare presentations, communications, reports, and other materials with strong attention to detail and a high standard of visual quality.
  • Maintain team documentation, project trackers, distribution lists, and collaboration platforms, including SharePoint and related systems.
  • Build strong partnerships across Global Talent, Operations, and coordinator networks to support seamless communication and execution.
  • Support special projects and evolving business priorities as needed.

Talent Program Coordination:

  • Support the administration and delivery of team member experience, training, and development programs.
  • Coordinate participant communications, program logistics, evaluations, and reporting to support successful program delivery and continuous improvement.
  • Maintain content, records, and reporting across SharePoint, Learning Management Systems, intranet sites, and other talent platforms.
  • Coordinate CEU activities and support Learning Management System administration, including course setup, attendance tracking, user support, and record maintenance.
  • Administer access to and overall participants' maintenance of our licensure programs (such as Black Spectacles), and LinkedIn Learning
  • Collect and maintain program data, metrics, and documentation to support reporting, operational effectiveness, and ongoing improvements.
  • Leverage AI-enabled tools and emerging technologies to improve efficiency, content quality, reporting, and program administration.

SME/Strategic Hire Success Program Coordinator:

  • Coordinate the administration and ongoing delivery of Gensler's Subject Matter Expertise (SME) and Strategic Hire Success Program, including participant tracking, communications, documentation, reporting, and stakeholder engagement.
  • Partner with SME / strategic hires sponsors, Practice Area leaders, Studio leadership, Talent Acquisition, and Global Talent teams to support the successful onboarding, integration, and development of SMEs and strategic hires.
  • Maintain onboarding plans, development milestones, dashboards, program records, and success metrics throughout the SME/strategic hires lifecycle.
  • Coordinate SME / strategic hires communications, meeting participation, distribution lists, and engagement activities that foster connection, inclusion, and long-term success across the firm.

Your Qualifications

  • Bachelor's degree or equivalent combination of education and experience.
  • Minimum 5 years of experience in administrative, operations, program coordination, project coordination, or related roles.
  • Strong organizational, project management, and problem-solving skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Excellent verbal, written, and interpersonal communication skills, with the ability to build relationships across all levels of a global organization.
  • Demonstrated initiative, professionalism, attention to detail, and ownership of work.
  • Proven ability to collaborate effectively across regions, cultures, and time zones, with the flexibility to accommodate occasional meetings and program activities outside standard business hours.
  • Advanced proficiency in Microsoft 365 applications, including Outlook, Teams, Excel, PowerPoint, Word, Forms, and SharePoint.
  • Proficiency in creating presentations, communications, and visual materials using Adobe Creative Suite, including InDesign, Photoshop, and Illustrator.
  • Proficiency in leveraging AI-powered tools (e.g., Microsoft Copilot, ChatGPT, or similar platforms) to improve productivity, streamline processes, support content creation, analyze information, and enhance team operations.

Preferred Qualifications

  • Experience supporting Human Resources or Learning & Development functions.
  • Experience coordinating global programs, learning initiatives, events, or communities of practice within a professional services environment.
  • Familiarity with Workday, Workday Learning, Learning Management Systems, Qualtrics, Miro, SharePoint, and other collaboration or talent platforms.
  • Experience supporting senior leaders and managing complex scheduling and stakeholder coordination.
  • Experience working within the architecture, engineering, design, consulting, or broader professional services industry.
  • Multi-lingual fluency and experience working in a global organization.

**The compensation range is estimated to be between $75k-$85k plus bonuses and benefits and contingent upon relevant experience.
