About the Role

We are seeking a highly organized and proactive individual to join our customer-facing team, which is dedicated to supporting core services and driving customer onboarding and adoption initiatives. In this pivotal role, you will be the backbone of our team's operations, ensuring everything runs smoothly so our engineers and program managers can focus on delivering exceptional value. You will play a crucial part in maintaining team morale, streamlining administrative processes, and coordinating essential activities that contribute directly to our success and customer satisfaction. Key Responsibilities



  • Provide comprehensive administrative support to a dynamic team, ensuring efficient daily operations.
  • Coordinate and execute team support activities, including morale programs and team-building events.
  • Manage space logistics and device operational support for team members.
  • Oversee supply ordering, procurement, and general office operations.
  • Facilitate expense reporting and management processes.
  • Manage communication aliases and distribution lists.
  • Coordinate meetings, events, and complex logistics, including scheduling and preparation.
  • Assist with department financial, personnel, and facility purchasing operations.
  • Undertake special projects as assigned, contributing to various team initiatives.
  • Enforce team policies and procedures to maintain operational consistency.


Qualifications

Must-Have Skills & Experience



  • Minimum 1-3 years of administrative support experience, with 2-4 years preferred, in a fast-paced environment.
  • Proven experience in an administrative assistant role, supporting teams effectively.
  • Strong background in administrative operations and team support.
  • Demonstrated experience in event, meeting, and logistics coordination.
  • Proficiency with essential business productivity and collaboration tools, including email, scheduling, word processing, spreadsheets, and presentation software.
  • Experience with expense management and reporting.
  • Familiarity with alias management.
  • Expertise in supply ordering, procurement, and general office operations.
  • Experience coordinating morale initiatives, team events, and space management.
  • Exceptional customer service and communication skills.
  • Superior organizational skills and meticulous attention to detail.
  • Ability to skillfully manage multiple administrative responsibilities simultaneously.
  • Experience supporting customer-facing or highly collaborative teams.
  • Background in device management and operational support.
  • Willingness to proactively assist team members and interact positively with diverse individuals.
  • Basic project management skills.
  • Ability to lift up to 20 lbs may be required.

  • Basic calendar management experience.
  • Experience coordinating travel arrangements.
