Position Responsibilities

The Project Coordinator provides administrative, operational and project support to a team of Project Managers responsible for delivering technical implementations and PMO process improvements. This role ensures projects remain well organized, on schedule and well documented by coordinating activities, maintaining schedules at the program level, supporting financial processes and facilitating follow ups with all stakeholders. The Project Coordinator will help support Project/Program managers on medium to highly complex projects. The project coordinator will use critical thinking and problem solving to own specific processes within the project methodology (approvals/decisions).

Specific Responsibilities:

  • Support multiple PM by coordinating day-to-day project activities across concurrent initiatives.
  • Coordinate and report out on repeatable project tasks, ensuring consistency and adherence to established project methodology.
  • Maintain project documentation, meeting notes, action items and decision logs.
  • Monitor project milestones and dependencies as established through the overall detailed schedule.
  • Coordinate onboarding activities, schedules/plans for all resources added to an in-flight project; insuring their ability to find resources and contribute within 2 weeks.
  • Assist in building, maintaining and updating detailed project/program schedules using Jira.
  • Create and manage project boards, epics and tasks as needed.
  • Generate status reports and dashboard details as needed by Program Director for stakeholder distribution.
  • Track vendor invoices for accuracy, contract compliance and timely payment with approva/review by designated PM.
  • Coordinate with finance/accounting to resolve any invoice discrepancies.
  • Support purchase order tracking and vendor documentation as established by project and as required.
  • Participate in PMO, financial and other project meetings as required.
  • Support continuous improvement initiatives by identify opportunities, proposing solution improvements and updating process documentation when executed.

Qualifications

Qualifications:

  • 3 to 5 years of experience as a project coordinator or similar role
  • B.A., Business Administration or equivalent experience.
  • Understanding of Project Management and software development life cycle methodologies including waterfall and agile.
  • Proven experience coordinating projects/tasks with remote teams
  • A strong communicator who can work with remote teams
  • Must be able to build relationships with remote stakeholders

Other Key Requirements:
  • Possesses confidence with navigating an escalation process
  • Driven, proactive and a do-er. Skilled in building trusted relationships with team members and project leaders (both local and remote).
  • Experience coordinating vendor activities and tracking invoices preferred.
  • Experience assessing, organizing and managing priorities within a business group
  • Deltek is a fast-paced and dynamic environment; the ability to multitask on different projects concurrently and react quickly to movements in the business is critical.

Compensation Info

The U.S. salary range for this position is $60,000.00-$106,000.00. This range is subject to change as Deltek takes a number of factors into consideration when determining individual base pay, such as location, job-related knowledge, skills and experience. Certain roles are eligible for additional rewards, including incentive compensation and equity.
