Primary Purpose of Organizational Unit

Position Summary
This position primarily functions as the assistant to the Department Chair of the Department of Health Policy and Management ( HPM). In this role, this position:
* Manages complex and varied tasks associated with supporting the work of the Department Chair and other members of the leadership team.
* Makes sure the day-to-day functions, activities, and communications in and from the office of the Chair are conducted effectively and professionally.
* Schedules the Chair's time and travel and stays informed of deadlines and tasks pertaining to the Chair, helping to ensure timely completion.
* Schedules and supports departmental standing meetings and ad hoc meetings upon request. This includes preparing and distributing agendas, handouts, and minutes for faculty meetings and other department meetings.
* Manages key documents and records within a Teams site file system.
* Is responsible for coordinating faculty searches, including scheduling search committee meetings and candidate campus visits. Provides administrative support to the search committee. Assists with candidate travel arrangements, facilitating travel reimbursements, and making hotel reservations on behalf of candidates.
* Acts as liaison between the department Chair and external parties including the Dean's Office, Central Adminstrative Unit staff, and other stakeholders.
Minimum Education and Experience Requirements
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Management Preferences
Ability to clearly, concisely, professionally, and effectively communicate in writing and verbally with staff, faculty, students, and colleagues across the institution.
Ability to synthesize complex discussions into concise summaries for meeting minutes.
Ability to track and monitor pending issues for follow up.
Ability to work independently with minimal supervision
*Experience in higher education with the following: Outlook Email and Calendar (or equivalent), Microsoft Office (primarily Word and PowerPoint), Zoom meeting participation (preferably Zoom meeting management), or Microsoft Teams sites.
