Position Overview
At Worley, our people are at the heart of delivering sustainable change. The Vendor Coordinator plays a critical role in supporting project execution by serving as the primary liaison between suppliers, vendors, project teams, and internal stakeholders. This position is responsible for coordinating vendor activities, ensuring timely delivery of materials and services, maintaining accurate procurement documentation, and facilitating communication to support project objectives related to safety, quality, cost, and schedule. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced project environment.
Key Responsibilities
Vendor Coordination & Relationship Management
- Serve as the primary point of contact for vendors and suppliers throughout the procurement and project execution lifecycle.
- Establish and maintain strong working relationships with vendors, subcontractors, and internal stakeholders.
- Coordinate vendor communications regarding purchase orders, delivery schedules, documentation requirements, and project expectations.
- Facilitate vendor onboarding and ensure compliance with company and project requirements.
Procurement & Material Coordination
- Monitor purchase orders and track material deliveries to ensure adherence to project schedules.
- Coordinate with procurement, warehouse, logistics, and construction teams to resolve material delivery issues.
- Assist in expediting critical materials and services to support project milestones.
- Verify vendor documentation, including packing lists, invoices, certifications, and shipping information.
- Maintain procurement and vendor records in applicable systems and databases.
Schedule & Project Support
- Coordinate vendor activities to align with project schedules and construction requirements.
- Communicate delivery status, delays, and risks to project leadership and stakeholders.
- Participate in project meetings and provide updates regarding vendor performance and material status.
- Support project teams in identifying and resolving challenges.
Compliance & Documentation
- Ensure vendor compliance with contractual requirements, company policies, and project procedures.
- Assist with collecting and maintaining vendor insurance certificates, safety documentation, and qualification records.
- Maintain accurate procurement files, logs, and tracking reports.
- Support audits and documentation reviews as required.
Reporting & Continuous Improvement
- Prepare and distribute vendor performance reports and material status updates.
- Track key performance indicators (KPIs) related to vendor delivery and responsiveness.
- Identify opportunities to improve vendor management processes and procurement efficiency.
- Support continuous improvement initiatives within the Project Services functions.
Qualifications
Education
- High school diploma or GED required.
- Associate's or Bachelor's degree in Supply Chain Management, Business Administration, Construction Management, or a related field preferred.
Experience
- Minimum of 3+ years of experience in vendor coordination, procurement, supply chain, materials management, or project support.
- Experience in engineering, construction, industrial, energy, or EPC environments preferred.
- Experience supporting large capital projects is considered an asset.
Knowledge, Skills & Abilities
- Strong understanding of procurement and supply chain processes.
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong problem-solving and analytical skills.
- Proficiency with Microsoft Office Suite, particularly Excel and Outlook.
- Experience using ERP systems such as SAP, Oracle, or other procurement management systems preferred.
- Ability to build effective relationships with vendors and cross-functional teams.
