| Essential Job Duties |
The Assistant Director of NC State University's Office of Parents and Families Services provides strategic leadership and oversight to enhance the experience of parents and families of enrolled students. This role manages key initiatives and critical program resources and serves as a steward of all communication efforts for the Office of Parents and Families Services.
The Assistant Director will support planning and execution efforts for all unit events, including but not limited to Parents and Families Weekend, Spring Fling, and First Generation Family engagement programming as well as all virtual events. The Assistant Director will represent Parents and Families Services at stakeholder programming through tabling and presentations at events, including but not limited to annual events such as University Open House, Experience NC State, New Student/Family Orientation, and University Commencement.
The position involves administrative duties, direct service to parents, families, and students, and supervision and training responsibilities. The Assistant Director assists in developing, revising, and maintaining communications, outreach, and programs. They supervise the Parent Ally student leadership team and exemplify the program's mission and values.
As a member of the Administrative Team alongside the Executive Director and Associate Director, this staff member provides reports and data as needed and participates in institutional committees, professional organizations, and continuing education opportunities as they arise. All members of the Administrative Team are expected to support the mission of the unit, division, and university. |

- Monitor the Parents' Helpline email and phone communications to ensure prompt and comprehensive responses.
- Manage inquiries received via social media channels, ensuring consistent messaging and follow-through.
- Aim to provide the highest-quality service to parents, families, students, and stakeholders while meticulously documenting all inquiries.
- Initiate proactive outreach to both on-campus and off-campus partners.
Communication
- Effectively communicate information verbally and in writing to individuals and groups, ensuring clarity and understanding.
- Demonstrate strong listening skills and a willingness to consider varied perspectives and ideas.
- Establish credibility and respect through effective communication with all stakeholders.
- Lead presentations for a range of audience sizes, from small groups to larger audiences of up to 3,000 participants.
Knowledge of Program
- Demonstrate a profound understanding of the target audience's needs and the program's critical impacts.
- Strategically connect program initiatives to broader institutional goals and mission.
- Lead the planning and execution of signature events, ensuring consistency in brand and messaging.
- Represent the department effectively at campus partner events to foster collaborative relationships.
- Expertise in Microsoft, Adobe, and Google Suite, along with experience in WordPress, Hootsuite, Slate, Canva, CashNet, and social media strategic management.
- Oversee registration and assessment processes for programs and events.
- Coordinate facility logistics and deliveries as necessary.
Program Administration
- Provide strategic oversight and support for ongoing and emerging program initiatives.
- Respond proactively to parent and family inquiries through the Parents' Helpline, ensuring timely and appropriate resolutions.
- Oversee the comprehensive development and management of the signature event registration process, effectively troubleshooting challenges as they arise.
- Participate actively in planning and executing all key signature events.
- Identify and engage potential off-campus partners to strengthen the VIP program.
- Facilitate the establishment and updating of annual contractual agreements with stakeholders.
- Champion the recruitment and leadership development initiatives for student employees.
- Willingness to travel to event locations as needed.

Qualifications
| Minimum Education and Experience |
- Bachelor's degree in Education, Communication, Social Work, Family Studies, or a related field. A Master's degree is preferred.
- A minimum of 3 years of experience in higher education, student affairs, or a related field, with specific experience in event planning, program management, family relations, and communication strategies.
- Proven ability to engage and work effectively with parents, families and students.

- Exceptional written and verbal communication skills, with experience in developing communication strategies and outreach materials.
- Familiarity in data collection, analysis and reporting, with the ability to utilize data to inform decision-making and improve programs.
- Experience in coordinating all aspects of event management, including logistics, budgeting, marketing and on-site execution for both large and small-scale events.
- Ability to adapt event strategies to meet the varied needs of various audiences, ensuring smooth and engaging experiences for attendees.
- Exceptional organizational skills with the ability to manage multiple projects simultaneously while working under tight deadlines.
- Ability to think proactively, critically and creatively to address challenges and improve the overall experience of parents and families.
- Strong leadership skills with a commitment to fostering a collaborative team environment.
- A proactive approach to identifying needs and opportunities for improvement, coupled with a genuine desire to foster strong relationships with constituents and partners.
- Proficiency with virtual event platforms and tools, as well as a strong command of standard software applications (e.g., Microsoft Office Suite, social media platforms).
