*Executive Assistant & Team Coordinator* We're looking for an Executive Assistant & Team Coordinator to support our SVP of Marketing and help drive operational excellence across a dynamic, high-impact marketing organization.
This role sits at the center of it all-blending executive support, team coordination, and marketing operations to ensure priorities stay on track, communication flows seamlessly, and the team is set up to deliver. *What You'll Do* *Executive Support Excellence* * Serve as a trusted partner to the SVP of Marketing and leadership team, managing complex calendars, priorities, and evolving business needs * Coordinate leadership meetings end-to-end-including scheduling, agendas, materials, note-taking, and action item follow-ups * Act as a key point of contact and gatekeeper for internal and external stakeholders * Prepare polished presentations, reports, and executive communications * Manage travel logistics, itineraries, and expense reporting with precision * Proactively anticipate leadership needs and help maximize focus, efficiency, and impact *Marketing Team Coordination* * Own and maintain team and department calendars, including meetings, travel, time off, and key events * Serve as the central hub for marketing team coordination, ensuring alignment across schedules and priorities * Maintain shared tools and resources (calendars, trackers, org charts, distribution lists, Teams channels) * Coordinate team meetings and routines-ensuring agendas, logistics, and follow-ups are consistent and effective * Support daily operations such as room scheduling, vendor coordination, expense tracking, and budget administration * Assist with onboarding, internal communications, and team updates to build connection and continuity * Partner with Marketing Operations to support workflows, processes, and planning * Help celebrate wins and reinforce alignment across the marketing organization *What You Bring* * 2-4 years of experience in executive support, administrative coordination, or marketing operations * Experience supporting VP/SVP-level leadership, managing complex calendars and shifting priorities * Strong meeting management skills-from scheduling to note-taking to execution follow-through * Exceptional organizational skills with a sharp eye for detail and accuracy * Clear, professional communication-both written and verbal * Proven ability to handle confidential information with discretion and sound judgment * Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Teams) and collaboration tools * Ability to thrive in a fast-paced, cross-functional environment * Experience supporting team operations, calendars, and internal processes preferred *What Sets You Apart* * You anticipate needs before they arise and take initiative without being asked * You bring structure and clarity to complex, fast-moving environments * You balance precision with adaptability and stay calm under pressure * You're a natural collaborator who builds strong relationships across teams *Why This Role Matters* In this role, you're not just supporting executives-you're enabling an entire marketing organization to operate at its best.
