Summary:
The Rehab Department Assistant/Patient Coordinator plays a key role in delivering an exceptional patient experience by ensuring accurate scheduling, coordinating patient visits across multidisciplinary specialties, and verifying all prior authorizations, certifications, and referrals before treatment. This position provides non-clinical education and support to patients and families, helps coordinate admission paperwork, maintains the cleanliness and organization of the department, and assists therapists with patient care and daily operations. Responsibilities may include supporting inpatient, outpatient, and aquatics services, as well as independently leading wellness and aquatics classes when applicable. The ideal candidate is detail-oriented, customer-focused, and committed to ensuring smooth patient care and operational excellence. Responsibilities:
Achieve exceptional patient and family experiences by utilizing CARES, AIDET, and EPE service excellence tools. Address patient concerns and complaints in the moment, using effective communication techniques and escalating issues appropriately when needed. Manage conflict professionally and partner with leadership to ensure timely resolution of complex situations. Round on waiting patients to provide updates, ensure comfort, and communicate delays when applicable. Perform patient scheduling functions, ensuring accuracy of demographics, visit types, and appointment details. Educate patients and families on non-clinical aspects of care, including scheduling, referrals, prior authorizations, and out-of-pocket expenses. Coordinate scheduling for invasive procedures in both inpatient and outpatient settings. Develop and maintain collaborative relationships with providers, therapists, staff, and other departments to support seamless patient care. Follow established scheduling protocols, including appropriate utilization of assigned block times and specialty scheduling requirements. Assist therapists and therapy assistants with patient care activities and departmental operations. Perform delegated patient care tasks and procedures under the direction and supervision of a licensed clinician. Demonstrate knowledge of growth and development principles across the lifespan to effectively support patients of all ages. Prioritize responsibilities appropriately and escalate clinical or operational concerns to the appropriate licensed clinician or management team. Maintain a working knowledge of medical terminology, anatomy, rehabilitation modalities, and the indications, contraindications, physiological effects, and application of therapies relevant to the rehab setting. Support a safe, efficient, and patient-centered environment while contributing to the overall success of the rehabilitation team.

Education
Experience & Knowledge
Experience in a healthcare office, clinic, or rehabilitation setting with significant clinician interaction preferred. Prior experience with prior authorizations, certifications, and referral processes preferred. Working knowledge of CPT and ICD-10 coding preferred. Basic knowledge of medical terminology, anatomy, and rehabilitation services.
