JOB SUMMARY

The HR Specialist I | Safety serves as the primary point of contact for all matters related to employee workplace injuries and workers' compensation claims. The HR Specialist develops, implements, and monitors safety programs to promote a safe and healthy work environment. This position plays a critical role in fostering a culture of safety, minimizing risk, and supporting employee well-being across the organization.

ESSENTIAL JOB RESPONSIBILITIES



  1. Collect and document comprehensive information related to work-related injuries and illnesses, including incident details, employee statements, witness accounts, and medical evaluations.
  2. Ensure accurate and timely reporting of the workplace injury or illness to the Workers' Compensation Administrators.
  3. Serve as the primary liaison between injured employees and Workers' Compensation Administrators ensuring timely communication and coordination of medical attention.
  4. Maintain and update OSHA logs in compliance with regulatory guidelines, ensuring accurate recordkeeping throughout the year and completing annual OSHA reporting requirements.
  5. Maintain ongoing contact with injured employees to track Work Status Report, ensuring all steps of the workers' compensation process adhere to relevant labor laws and regulations.
  6. Analyze workplace injury data to identify trends and provide actionable recommendations aimed at minimizing incidents and reducing Workers' Compensation claims.
  7. Develop and deliver safety training materials to provide guidance to Program Directors on Workers' Compensation policies and procedures.
  8. Monitor and stay current with California labor laws, workers' compensation regulations, and occupational safety standards by attending relevant trainings, workshops, and professional development sessions to ensure ongoing compliance and best practices in HR operations.
  9. Must ensure compliance with Cal/OSHA infectious disease, workplace health, and safety requirements, including applicable COVID-19 recordkeeping and reporting obligations.
  10. Update and maintain COVID Prevention Procedures (CPP) as needed.
  11. Develop, track, and prepare forms to collect information supporting safety compliance.
  12. Lead and participate in Safety Committee meetings and contribute to injury prevention initiatives.
  13. Design and develop presentation materials for public speaking and internal communications.
  14. Develop and maintain SOPs.
  15. Facilitate the retrieval and preparation of employee personnel files in response to legal subpoenas, ensuring compliance with confidentiality and legal standards.
  16. Provide user and administrative support for HRIS.
  17. Provides quality customer service by responding to requests and questions in a timely manner using a variety of communication formats (phone, text, e-mail, etc.).
  18. Assists or prepares HR correspondence as requested.
  19. Will think and act quickly and efficiently in emergencies.
  20. Will drive on Agency business.
  21. Physical presence at the program is required.



    ESSENTIAL JOB REQUIREMENTS



    1. Bachelor's degree in human resources or a related field, and 1-2 years of progressively responsible experience in Human Resources, Safety, Risk Management, Workers' Compensation administration, or a similar area. An equivalent combination of education and experience may be considered.
    2. SHRM-CP credential preferred.
    3. Ability to effectively communicate throughout all levels in the organization.
    4. Excellent verbal and written communication skills.
    5. Excellent interpersonal and customer service skills.
    6. Excellent organizational skills and attention to detail.
    7. Working knowledge of human resource management principles.
    8. Basic knowledge of California and Federal employment regulations.
    9. Excellent time management skills with a proven ability to meet deadlines.
    10. Strong analytical and problem-solving skills.
    11. Intermediate computer skills in Microsoft Word, Excel, Outlook and PowerPoint, Office 365, Teams, Zoom and other communication/meeting platforms.
    12. Proficient with UKG HCMS or other HCMS, and Relias Learning Management System or other LMS.
    13. Ability to become proficient in web-based software platforms (i.e., Relias, UKG, Canva, Vyond, etc.) through online training.
    14. Self-motivated and inquisitive with a proven work ethic and proactive approach.
    15. Demonstrated ability to work well with all levels within an organization; ability to manage incoming requests quickly and professionally in a fast-paced environment.
    16. Demonstrated ability to manage multiple tasks simultaneously and able to react to shifting priorities to meet Company needs.
    17. Possess a valid driver's license and have access to a dependable means of transportation that is properly insured and operated in accordance with all laws. Agency insurer authorization is required.
    18. Ability to pass a pre-employment criminal background check.
    19. Ability to pass a pre-employment drug screen.
