Job Description

Provides specialized administrative and financial support to the department, ensuring efficient execution of business, fiscal, and human resource operations. This role supports departmental objectives by managing financial processes, coordinating HR activities, and serving as a key liaison among faculty, staff, students, and central offices. The position requires independent judgment, attention to detail, and the ability to resolve routine and non-routine issues using established policies and procedures.

Key Responsibilities:

  • Provide direct administrative support to the department chair, students, faculty, staff.
  • Manage departmental finances, including budgeting, reconciling One Card accounts, payroll, scholarships, endowments, and travel expense reports to ensure accuracy of department financial records.
  • Make purchases/serve as approving authority on behalf of the department and lab, using One Card and eProcurement.
  • Process appointment information and personnel actions for academic, student, and staff appointments (i.e., hires, job and status changes, additional pay, summer compensation, etc).
  • Assist students by implementing recruiting activities, tracking progress to ensure that career deadlines are met, enrolling them in the qualifying exam, and conducting annual reviews using the graduate catalog, policies and procedures.
  • Research, gather, and prepare departmental data for reports and departmental needs, as assigned.
  • Work with faculty on Discover Days and campus visits to reserve rooms, provide welcome/informational packets, and greet visitors as they arrive.
  • Act as a liaison with internal and external stakeholders to resolve routine issues
  • Process and maintain department and student records.
  • Update the department website as needed.
  • Perform other job-related duties as assigned
Minimum Qualifications

An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience

Anticipated Hiring Range

The anticipated hiring range for this position has been established as $17.05-$20.00 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
