Part-Time Business Services Coordinator
This part-time role provides essential support to the department by managing operations with a primary focus on financial support, travel logistics, and procurement. The position balances technical coordination with a commitment to clear, professional communication and excellence.
Key Responsibilities
Strategic Procurement and Financial Support
A significant portion of this role is dedicated to facilitating the procurement process and providing financial oversight. You will develop and maintain vendor relationships while coordinating the acquisition of goods and services to ensure they are cost effective and arrive on time. Additionally, you will assist with processing financial transactions including invoicing, reimbursements, and pcard purchases and reconciliation, ensuring total accuracy and compliance with financial policies.
Travel Support and Reimbursement
You will manage travel logistics by coordinating bookings and payments while ensuring all arrangements adhere to established guidelines. Following the completion of trips, you will manage the reimbursement process with a high degree of accuracy to ensure travelers are compensated promptly and in compliance with all policies.
Business Process Coordination
You will work to streamline and optimize business processes to enhance overall efficiency. This involves coordinating across different areas to ensure that information is exchanged accurately and that workflows remain consistent and smooth.
Professional Communication and Customer Service
As a key point of contact for internal and external stakeholders, you will provide professional customer service. This requires exceptional soft skills, including polished email etiquette and clear verbal communication. You will be expected to address inquiries and provide assistance in a helpful, composed, and timely manner.
Operational Support
In addition to the primary financial and procurement tasks, you will provide general support as assigned by your supervisor. This position is designed for an organized professional who excels at multitasking and maintains high standards of integrity in all communicative and supportive tasks.
