JOB SUMMARY:

The Apprentice Program Specialist supports the Apprentice Program Manager in the execution and administration of Summit's apprenticeship training programs. This role plays a critical part in maintaining operational accountability across Summit's apprenticeship programs by ensuring documentation, and progression requirements are completed accurately and in accordance with established standards.

ESSENTIAL JOB DUTIES:

Direct Support to Apprentice Program Manager



  • Provide direct operational support to the Apprentice Program Manager
  • Assist with scheduling, coordination, and tracking of training activities
  • Support apprenticeship onboarding, enrollment, and progression
  • Help ensure training timelines and requirements are met accurately and on time


Apprenticeship & Compliance Support



  • Track apprentice hours, coursework, and progression in accordance with program standards
  • Assist with documentation required for state and federal apprenticeship compliance
  • Maintain accurate, well-organized training records
  • Support audit preparation and ongoing compliance efforts
  • Assist with on-site training classes, as needed and attend full team planning meetings (10% travel)


Compliance & Documentation



  • Maintain accurate training records and documentation
  • Assist with tracking compliance with state and federal apprenticeship requirements
  • Support preparation of documentation for audits, reporting, and program reviews
  • Ensure records are organized, current, and audit-ready


Communication & Coordination



  • Serve as a reliable point of contact for apprentices, instructors, and internal teams
  • Assist with training communications, reminders, and follow-ups
  • Help ensure clear, consistent communication between training, field leadership, and operations


Operational Excellence & Support



  • Maintain training databases, spreadsheets, and tracking tools with accuracy and attention to detail
  • Assist with reporting and documentation to support leadership visibility
  • Help identify opportunities to improve efficiency, consistency, and organization
  • Provide dependable administrative support to keep programs running smoothly
  • Other duties may be assigned.
  • Assist with state audits for apprenticeship program
  • Manage ad hoc project and program management objectives as required.
  • Assist with Apprentix, recordkeeping and data collection of training programs, trainees, and team documentation.


QUALIFICATIONS

The qualifications listed below are representative of the elements required to perform the job successfully, however in some cases, an equivalent combination of Education, Training, Certifications and Experience may meet the job qualifications.

Education, Training, Certifications:



  • High school diploma or equivalent (required)


Experience, Knowledge, and Skill Requirements:



  • Previous administrative or program coordination experience is a plus.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.


Communication Skills:



  • Strong interpersonal and communication skills to build lasting relationships
  • Ability to effectively read, write, and communicate in English with employees


Systems and Software Skills:



  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Ability to work independently and collaboratively.
  • Discretion and professionalism in handling sensitive information.


Other Qualifications:



  • Valid driver's license with an acceptable driving record (required)
  • Must comply with SFS's Drug and Alcohol policy and Background screening requirements.

Physical Requirements:

While performing the duties of this job, the employee is required to sit for long periods. Employee will occasionally be required to bend, kneel, balance, lift <20lb, walk, stand, ascend/descend stairs, drive, twist, and reach above and below shoulders. Employee will frequently be required to drive and walk for periods.

Work Environment:

Employee will consistently be required to work indoors in an office setting, work alone and with other. Employees will occasionally be required to work outside, and be exposed to hot/cold temperatures, dust, fumes, chemicals, electrical hazards and noise. Employee will be occasionally required to wear all appropriate personal protective equipment, as required by company safety policies while visiting locations.
