| Position Summary |
The Event Planner performs professional duties in planning, developing, coordinating, implementing, and managing events at the School of Law. This position will coordinate the event logistics necessary to plan and execute conferences, meetings, meals, receptions, and various types of special events for the Law School. This role will collaborate with various School of Law departments, including working with the Law School Admissions and Student Affairs departments on events.
This position will involve periodic work on evenings and weekends. The position also includes day trips/travel within the state of Georgia up to five times per year. |

Event Planning
- Plan, implement, and coordinate events within the School of Law upon request with priority given to events originating within the Dean's Office, involving the judiciary, admissions, and student affairs.
- Assist with event budget preparation and monitoring budgets to meet program needs; document expenditures, and submit necessary paperwork to the Law School budget office.
- Interfaces with Law School colleagues to help execute their event vision, and oversees the implementation.
- Conduct pre-event meetings with departmental event contacts and recommend appropriate options based on the scope and specifications of the event.
- Liaises with catering vendors, staging staff, and other parties participating in producing the event.
- Reserves rooms and facilities, is responsible for obtaining food and beverage, and schedules appropriate work order requests in relation to the event needs; coordinates and supervises staff and volunteers; provides information and direction as needed; processes participant registrations/RSVPs.
- Prioritize job tasks and complete them within the specified time frame.
- Maintain and report on the timeline and action items
- Maintains the inventory of event supplies, equipment, and materials in support of Law programs.

Event Execution
- Work independently and be responsible for overseeing events in progress at designated locations. Includes set up and take down and may include weekends and evenings.
- Acts as a primary day-of-event representative before, during, and after the event.
- Ensure all parties are aware of the arrival, departure, or event progressions of guests and vendors involved in the success of the event.
- Perform necessary manual labor and skilled tasks that may necessitate the use of lifting heavy objects, stooping, and bending.
- Mitigate problems as they arise with minimal disruption.

Event Closeout
- Create and maintain accurate and up to date business and event records and reports of activities.
- Recap event to identify improvement areas. Make notes of the number of guests attending event, food and drinks needed, etc., to ensure success for event in the future.
- Pay vendors, speakers, and other bills and provide budget reconciliation within 30 days of the event.
