Proposal Specialist

WHAT WE SEEK

Carnegie Learning is looking for a qualified Proposal Specialist who will support the end-to-end RFP strategy and process. In this role, you will be developing proposals, bids, quotations, RFP responses, and other documents describing organizational products and services in response to requests from prospective clients.

In this role, you will work cross-functionally to develop and maintain up-to-date product boilerplate, and research, evaluate, and recommend improvements to RFP process tools. The Proposal Specialist will also author responses for business-critical writing projects that may include grant writing and other written projects as required.



WHAT YOUR DAY WILL LOOK LIKE



  • Meet proposal deadline by establishing priorities and target dates for information gathering, writing, review, and approval; entering and monitoring tracking data through the shared pipeline tracker on the Google Drive; coordinating requirements with contributors; contributing proposal status information to review meetings; transmitting proposals
  • Gather proposal information by identifying sources of information; coordinating submissions and collections; identifying and communicating risks associated with proposals
  • Develop proposal protocol by assembling information including project nature, objectives/outcomes/deliverables, implementation, methods, timetable, staffing, budget, standards of performance, and evaluation; writing, revising, and editing drafts including executive summaries, conclusions, and organization credentials
  • Prepare presentation by evaluating text, graphics, and binding; coordinating printing
  • Complete all forms required for RFP responses
  • Maintain quality results by using templates; following proposal-writing standards including readability, consistency, and tone; maintaining proposal support databases
  • Improve proposal-writing results by evaluating and re-designing processes, approach, coordination, and boilerplate; implementing changes
  • Update job knowledge by participating in educational opportunities; maintaining personal networks
  • Maintain and add new content to the RFP io archive database
  • Support organizational goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
  • Maintain complete and accurate records and ensure that all activities comply with policies, rules and guidelines and all administrative requirements
  • Perform other duties as apparent or assigned



WHAT SHOULD BE IN YOUR BACKPACK



  • Bachelors degree in an associated discipline
  • Minimum two years of work experience in proposal support, pipeline management, writing, editing, communications, and proposal development for K- 12 education
  • Additional experience/education may be required by contract or assignment
  • Due to the highly sensitive nature of this position and access to company records and client information, the highest degree of confidentiality and ethical behavior is required at all times
  • Technical documentation and layout skills
  • Problem solving and deadline oriented
  • Detail-oriented, flexible and able to multitask
  • Overall pipeline project management and skills
  • Excellent communication skills
  • Excellent client service skills
  • Proficient in Microsoft Office
  • Proficient with Google Docs
  • Proficient in publishing finalized versions of responses
