What This Job Involves

As the Facility Maintenance Planner/Scheduler, you will coordinate and organize maintenance activities to support daily facility operations to ensure safe, efficient, and cost-effective service delivery to clients and building occupants. This role involves scheduling preventive and corrective maintenance, coordinating with technicians and vendors, and ensuring that necessary parts, materials, and resources are available when needed.

The position requires balancing routine maintenance tasks with emergency repairs, minimizing downtime, and optimizing the use of maintenance staff and budgets. Additionally, you will serve as the backup to the facility call center, stepping in to handle service requests and communications when needed to ensure continuity of operations. Strong organizational skills, technical knowledge of building systems, and proficiency with computerized maintenance management systems (CMMS) are essential. You'll serve as the critical link between management, technical staff, and customers while ensuring all work is documented properly in SAP and follows established procedures.

What Your Day-to-day Will Look Like:

  • Using industry and client best practices, plan, schedule, coordinate, and assign maintenance activities for work groups while optimizing workload balance against labor availability

  • Ensure compliance with all client CMMS standards and specifications to maintain database integrity and standardization through periodic data auditing

  • Manage asset maintenance parts ordering process (MRO) for assigned teams, create purchase requisitions, and track spare parts inventory and documentation

  • Collaborate with operations team to optimize the maintenance program through continuous improvement of work planning and scheduling processes using maintenance metrics and work order flow analysis

  • Maintain liaison with facilities technicians and management team regarding work execution and manpower status, providing daily and weekly reports that identify risks, gaps, and resolution plans

  • Identify open, unscheduled, and unassigned work by running prescribed work order queries, then submit and document database record changes using client CMMS change request system

  • Facilitate and attend team and client meetings to communicate maintenance plans and schedules, coordinating with customer personnel regarding project details, duration, potential disruptions, and operational impacts

  • Serve as backup to the facility call center, responding to service requests, logging work orders, and maintaining communication with building occupants when primary call center staff are unavailable

Required Qualifications

  • Strong analytical, organizational, and prioritization skills

  • Proven experience managing multiple priorities in fast-paced environments while maintaining attention to detail and quality standards

  • Excellent verbal and written communication skills with the ability to interact professionally with clients, vendors, and team members at all levels

  • Proficiency with computerized maintenance management systems (CMMS) and Microsoft Office Suite including Outlook, Teams, Word, and Excel

  • Strong customer service orientation with ability to function effectively both independently and as part of a team

  • Leadership skills including training, presentations, and teambuilding capabilities along with project management experience

  • Flexibility with daily and weekly work schedules to accommodate operational needs

Preferred Qualifications:

  • Background in commercial or industrial facility operations

  • Expert-level knowledge of facilities planning and scheduling, including preventive maintenance program implementation

  • Experience with SAP CMMS or similar enterprise management systems, including schedule creation and planning report extraction

  • Experience planning and scheduling the work of hourly employees using CMMS systems

Estimated compensation for this position:

80,000.00 - 90,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
