Day in the Life

A typical day in this role balances executive support with leadership within the administrative community. The day begins by reviewing priorities and a complex executive calendar, resolving conflicts, anticipating changes, and ensuring meetings and travel are aligned with business objectives.

Throughout the day, the Executive Administrator partners closely with the Chief of Staff, leaders, and peer admins to manage Rhythm of Business, coordinate leadership meetings, track followups, and ensure decisions move forward. Executive travel planning, realtime adjustments, and issue resolution are handled alongside ongoing operational responsibilities.

As a Lead Admin, the role also includes coaching and guiding other admins. This involves setting clear boundaries, pushing back appropriately, and encouraging admins to explore, research, and propose solutions rather than escalating every question. The Lead Admin provides direction, shares context, reinforces standards, and helps build confidence and capability across the admin team, while still maintaining accountability and ownership.

The day often includes contextswitching between urgent requests, mentoring conversations, and longerterm operational work such as process improvements, event or space coordination, or resource tracking. The role requires sound judgment, professionalism, and discretion, and typically ends by preparing upcoming priorities and ensuring the next day is set up for success.

Required Qualifications:

* 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

* 2+ years experience administrative support to an executive in a matrixed, global organization.

Preferred Qualifications:

* Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)

* 2+ years experience serving as mentor to others

* Proficient in Microsoft Office products.

* Demonstrated proficiency in both written and verbal communication, coupled with strong analytical and problem-solving abilities and meticulous attention to detail.

* Ability to excel in high-pressure, fast-paced environments.

* Experienced in interfacing at the executive level with both internal and external customers and partners.

* Self-motivated and proactive, adept at identifying, resolving, and following through on issues independently while maintaining a high standard of accuracy, professionalism, and confidentiality.

* Consistent demonstration of professionalism in all interactions, including handling highly confidential and sensitive information with discretion.

* Ability to work independently, navigate new challenges with confidence, and adjust direction in response to shifting priorities with a calm sense of urgency.

* Best vs. Average:

Ability to provide anonymized work samples upon request, demonstrating prior experience with executive administrative support, such as:

- Complex executive calendar management

- Executive travel planning and logistics

- Rhythm of Business (ROB) documentation or coordination

- Operational process documentation or administrative workflows
