| Essential Job Duties |
The Administrative Support Associate provides comprehensive administrative, business, HR, and operational support to the Director of the Center for Marine Sciences & Technology (
CMAST). The position manages daily financial transactions, purchasing, payroll, HR processing, travel reimbursements, mail operations, scheduling, and facility access. It maintains center directories, personnel lists, key inventory, and operational records. The role serves as the primary point of contact for faculty, staff, students, partner institutions, and visitors, providing accurate information about center procedures and services. The position supports meetings, conferences, workshops, and other center activities, ensuring smooth coordination of logistics and resources. Work requires strong organizational skills, attention to detail, and the ability to apply established policies and procedures in a complex, multiunit environment.
Responsibilities:
Administrative & Business Operations
- Assist the Director in all activities related to center operations and serve as HR and business operations liaison with the Office of the Vice Chancellor for Research & Innovation.
- Monitor budgets; create and maintain spreadsheets and budget reports.
- Process vouchers, Interdepartmental Transactions, and Journal Vouchers.
- Obtain and reconcile the NCSU PCard monthly.
- Order equipment and supplies for faculty using F&A funds and maintain tracking spreadsheets.
- Track use of supplies and equipment and ensure compliance with university purchasing guidelines.
- Compile information for the annual report and other requested documents.
- Manage copier operations, troubleshoot issues, coordinate service calls, and enter copier purchase requisitions every three years.
HR Personnel Support
- Process HR hires for non-permanent employees (temps, student works and no-pays).
- Process travel reimbursements for the Director, staff, and invited seminar speakers.
- Work with NCSU HR to implement personnel policies and benefits, including worker's compensation.
- Provide onboarding for new faculty, staff, and students, including building orientation, key assignment, copier access, and listserv access.
Scheduling, Events & Facility Coordination
- Maintain calendars for conference rooms and the teaching lab, including scheduling meetings, videoconference classes, and field courses.
- Assist the Director in planning meetings, conferences, and workshops, including menus, logistics, and materials.
- Manage building and warehouse key inventory, order key blanks, and coordinate key creation and collection.
Customer Service & Public Contact
- Respond to inquiries from faculty, staff, students, Carteret Community College, NC Cooperative Extension, and visitors.
- Provide accurate information about center operations, procedures, and services.
- Respond to written and inperson inquiries regarding the center.
Mail, Records & Compliance Administration
- Manage all incoming and outgoing mail, including express mail coordination and sorting.
- Maintain the CMAST listserv.
- Update and maintain center directories and personnel lists.
- Monitor and submit insurance renewals with NCSU Insurance and Risk Management.
- Renew Sea Tow membership annually for the center.

Qualifications
| Minimum Experience/Education |
High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work. |
| Preferred Qualifications |
- Experience with university administrative systems (e.g., Peoplesoft, PeopleAdmin).
- Experience tracking budgets, preparing spreadsheets, or processing financial transactions.
- Experience coordinating meetings, events, or facility scheduling.
- Experience providing customer service in a multiunit or publicfacing environment.
- Familiarity with HR processes, payroll, or onboarding procedures.
