Position Description:

The Contract Administrator supports the full lifecycle of contracts for Goodwill of Central and Northern Arizona (GCNA), Goodwill of the San Francisco Bay (GSFB), and all affiliated entities. Positioned within the Purchasing team, this role emphasizes strong financial stewardship, contract governance, spend visibility, and compliance with organizational policy. The role serves as the primary system administrator for Agiloft, contract management system.

Essential Duties and Responsibilities:

  • Coordinates the end-to-end lifecycle of contracts including intake, drafting support, review, approval routing, execution, amendments, renewals, and closure.

  • Ensures contracts comply with internal contract's policy, purchasing policy, and financial approval thresholds.

  • Monitors contract financial terms including value, payment structure, renewals, and expirations and proactively notifies stakeholders.

  • Maintains complete, accurate electronic contract files within the centralized contract repository.

  • Tracks and documents amendments, addenda, change orders, and contract extensions.

  • Serves as the primary configurator and daily administrator for Agiloft, maintaining workflows, templates, approvals, and reporting structures.

  • Ensures accurate contract-related financial data is maintained in Agiloft and Workday including vendor, term, value, cost center, and funding source.

  • Develops and maintains Finance-focused dashboards and reports including contract inventory, renewal pipeline, and spend visibility.

  • Leverages approved AI-enabled tools to extract key terms, validate contract data, flag discrepancies, and prepare Administers electronic signature workflows (e.g., DocuSign, Adobe Sign) including executive signature routing and document retention.

  • Supports Purchasing-led sourcing activities (RFPs, RFIs, RFQs) by preparing documentation, managing timelines, and organizing responses.

  • Ensures sourcing documentation is retained with executed contracts for audit and compliance purposes.

  • Serves as a point of contact for internal partners regarding contract status, financial terms, and process questions.

  • Facilitates coordination between Finance, Legal, IT, business owners, and vendors during contract review and negotiation.

  • Ensures required financial, insurance, licensing, and compliance documentation are collected and stored.

  • Supports audits, reviews, and information requests related to contracts, purchasing, and vendor spending.

  • Identifies potential financial or contractual risks and escalates concerns appropriately.

  • Recommends enhancements to templates, workflows, and systems to strengthen financial controls and efficiency.

  • Maintains working knowledge of organizational policies and models Goodwill Core Values.

  • Performs other related duties as assigned.

Minimum Qualifications (Education, Experience, Skills):

  • 3-5 years' experience in contract administration, purchasing, procurement, or vendor management.

  • Hands-on experience with contract lifecycle management systems; Agiloft and/or Workday strongly preferred.

  • Experience supporting RFP/RFI/RFQ processes.

  • Bachelor's degree or equivalent experience in Business, Finance, Supply Chain, Purchasing, or a related field preferred.

  • Knowledge of common contract terms and financial components.

  • Strong attention to detail and data accuracy.

  • Proficiency with Microsoft Office and collaboration platforms.

  • Effective written and verbal communication skills.

  • Ability to manage multiple priorities and confidential information.

  • Ability to pass a background check and drug screening, where applicable for position
