About the Job

Position Summary:

The Temporary Administrative Support role provides administrative support and coordination for the Prosthodontic and Endodontic residency programs. This role assists faculty, residents, and division leadership by coordinating resident onboarding, courses, meetings, and clinical operations.

Responsibilities include, but are not limited to:

Resident Onboarding and Support 60%

  • Participates in the recruitment, evaluation, and selection of Resident candidates and documents process as required by accreditation standards; duties include: managing recruitment events, monitoring applications, downloading application reports, communicating with candidates, scheduling interviews, and developing recruitment materials and presentations
  • Documents resident application and interview process; recommends process improvements for future application cycles
  • Provides Program Directors with data summarizing program applications and admissions; Analyzes data and provides recommendations
  • Communicates with incoming residents regarding work authorization; partners with ISSS and coordinates any Visa or other work authorization processes with the resident to ensure a smooth and on-time start of the program.
  • Serves as the programmatic contact for all current, incoming, and perspective residents
  • Develops, oversees, implements, and manages the resident clinical and didactic schedule.
  • Registers residents for courses
  • Collaborates with off-site programs and affiliated coordinators to ensure expected educational and clinical experience.

Program Coordination 40%

  • Implements and monitors program policies, processes, and protocols for compliance with University policies, academic program requirements, and other governing bodies; Understands and ensures program compliance with applicable governing bodies
  • Serves as the liaison between the programs and internal and external stakeholders.
  • Manages Canvas content for graduate courses:
  • Rolls over courses
  • Uploads Syllabus
  • Updates dates
  • Uploads recordings and lectures
  • Keys grades into Canvas/Peoplesoft for review and submission by the Course Director
  • Creates/Uploads exams in applicable exam software
  • Assists with student accommodations
  • Coordinates guest speaker logistics including payment, travel, accommodations, etc.
  • Assists the Program Director with administrative duties related to the program, including, setting meetings, creating agendas, etc.
  • Other duties as assigned
Qualifications

Required Qualifications:

  • BA/BS OR a combination of education and relevant administrative experience, such as program planning, to total four years
  • Proficient utilizing Microsoft Office (Word, Excel, and PowerPoint), Google Apps (Gmail, Calendar, Drive, Docs, Sites), and Adobe Acrobat.
  • Ability to take initiative on multiple tasks, work independently, and take direction from supervisor and faculty leaders
  • Strong interpersonal skills, including the ability to communicate in an effective, professional manner (both written and verbal)
  • Successful experience working with diverse patients or clients
  • Ability to anticipate and meet multiple deadlines
  • Ability to work with changing priorities and directives
  • Ability to prioritize tasks and communicate priorities and needs with faculty and others

Preferred Qualifications:

  • Experience with resident/fellow/medical student tracking and scheduling system
  • Experience working in a healthcare setting
  • Experience interacting with faculty or providers at multiple locations and working with clinical rotation schedules or related
  • Familiarity with application/evaluation systems, such as Electronic Residency Application
  • System (ERAS) and New Innovations Residency Management Suite (RMS)
