CST Administrative Support - Assistant III

Salary Range:$44,700 - $65,200 (AS-III)


What your job will be like:
The incumbent will utilize software for functional areas: to compile and generate accurate reports, statistics, timelines, tables, graphs, correspondence, and presentations. Develop and implement processes to enhance the Division's work flow in regards to special projects and event management. Coordinate with Division leadership all actions in regards to Division's projects and events. Serve as back-up support to Division administration in their absence or overflow of work. This position requires a dedicated incumbent acting at a high level in accuracy, confidentiality, efficiency, and strategic forethought to assist Division leadership with various projects and events
In this job you will:
  • Provide administrative support for the CST Division Leadership with projects and event organization.
  • Coordinate the compilation and timely submission of project requirements to Project Lead.
  • Coordinate the division's special projects and events. Develop and maintain a system for project oversight, action tracking, and reporting requirements. Work with Budget office to ensure projects remain on budget and within the correct project codes.
  • Arrange and process domestic and foreign travel from request to reimbursement for staff, and visitors traveling to Jefferson Lab.
  • Interact and correspond with all levels of Laboratory management and staff.
  • Coordinate events, alongside Event Services and other personnel, for both internal and external events.
  • Develop website, organize and oversee meetings, serve on local organizing committee as conference secretary, maintain status on actions, keep chair of events up-to-date on information as necessary and obtain necessary approvals where appropriate.
  • In collaboration with Project Managers and other personnel, ensure compliance of project requirements, assist with timekeeping, minutes, and action items; organize meetings and scheduling for reoccurring status meetings.
  • Assist with development of documentation needed to obtain projects, grants and other opportunities, maintain a tracking database to ensure completion and timeliness.
  • Serve as backup support to the Division Administrator, in case of leave or absence.
  • Manage an archive of statistical information/data to meet project requirements.
  • Develop and maintain the project and event web pages and ensure content and formats meet Lab standards.
Experience
  • Required: 5 or more years relevant experience.
  • Preferred: Experience in Indico, or other event management software.
  • Preferred: Experience in Website development.
Education
  • Required: High School Diploma
Experience and Education Exchange

Education above the minimum may be substituted for experience.

Knowledge, Skills, and Abilities
  • Medium: Ability to work under limited supervision in performing complex, multi-tasked assignments.
  • High: Strong organizational skills.
  • Low: Knowledge of budgetary and financial tracking, involving complex, multi-faceted projects.
  • High: Ability to oversee multiple projects with tracking action items, staying on deadline, scheduling status meetings with various stakeholders.
  • Medium: Proficiency in problem identification/resolution.
  • High: Knowledge of or the ability to learn the JLab Admin manual processes (and less formal guidelines) in relation to Travel, Immigration, Information Systems, Human Resources, and Project Management.
  • Medium: Knowledge of or the ability to learn reporting requirements related to projects and/or funding requests.
  • High: Ability to understand and analyze data/information, review processes as described in work instructions and determine how to communicate those instructions clearly, know when to bring deficiencies to the attention of Division leadership.
  • High: Strong interpersonal skills, both oral and written communication skills.
  • High: Ability to handle highly sensitive and confidential information.
