I. JOB OVERVIEW






Job Description Summary:
The Office of Academic Planning and Assessment was created in 2008 to meet the University's growing needs for institutional data, analysis, and assessment. It includes the Office of Assessment, Office of Institutional Research and Planning, Office of Survey Research and Analysis; the Office of the Academic Editor was added in 2013.

The Senior Academic Editor serves as the university's primary steward of the Academic Bulletin. This role ensures the accuracy, clarity, accessibility, and policy compliance of all academic information, including courses, programs, and academic regulations. The position functions as a subject matter expert and central liaison among faculty, academic leadership, administrative offices, IT, and external vendors, supporting curriculum proposal workflows and publication cycles. The Senior Academic Editor also leads training, process improvement, and quality assurance initiatives to maintain high standards and timely publication.

Key Responsibilities

Academic Bulletin & Catalog Management

  • Plan, coordinate, and execute the production and publication cycle of the University Bulletin.
  • Oversee editing, proofreading, formatting, and quality assurance of all Bulletin content to ensure compliance with university standards, policies, and accessibility guidelines.
  • Communicate timelines, deadlines, and instructions to page editors, faculty, and staff.
  • Maintain logical structure, consistent formatting, and plain, accessible language across all academic content.
  • Develop and maintain style guides, user guides, and web-based resources related to catalog and Bulletin processes.
  • Serve as the penultimate reviewer of course and program proposals, ensuring completeness, accuracy, and compliance with internal and external requirements.
  • Monitor approval queues, course cycles, and timelines to ensure efficient proposal processing.


Data Integrity & Systems Integration

  • Administer and manage the curriculum management system (e.g., CourseLeaf), including workflow design, user roles, and system updates.
  • Act as lead liaison with software vendors to ensure technical and functional requirements are met.
  • Maintain and synchronize curriculum and catalog data across systems (e.g., CourseLeaf and Banner), ensuring consistency and accuracy.
  • Troubleshoot issues related to curriculum data and system integration.

Training, Support & Collaboration

  • Serve as a primary point of contact and subject matter expert for faculty and staff on the catalog, curriculum, and system usage.
  • Develop and deliver training sessions on curriculum proposal processes, data standards, and system functionality.
  • Work closely with deans, department chairs, faculty, staff, IT, the Registrar's Office, and other stakeholders to resolve issues and clarify submissions.
  • Collaborate with University graphic designers to update the visual appearance of the online Bulletin and the Bulletin PDF each year.

Process Improvement & Policy Development

  • Recommend, develop, and implement improvements to workflows, procedures, and system operations.
  • Create and implement policies related to academic program logistics, approval timeframes, and academic calendar oversight.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:
Preferred Qualifications:

  • Experience with Student Information Systems (e.g., Banner) is preferred.
  • Experience with academic catalog or curriculum management software (e.g., CourseLeaf) is a plus.
  • Strong writing, editing, and proofreading skills with exceptional attention to detail.
  • Advanced organizational and project management skills; ability to manage multiple priorities and meet firm deadlines.
  • Demonstrated ability to analyze, integrate, and manage complex academic data across systems is desired.
  • Excellent interpersonal and customer service skills, with the ability to communicate clearly and diplomatically with faculty, staff, and administrators.
  • Experience developing and delivering training on complex procedures and systems is preferred.
  • Familiarity with the structures, policies, and procedures that relate to offering an excellent curriculum is desired.
  • Ability to work independently, exercise sound judgment, and proactively identify and resolve issues.

Hiring Range $64,483.58 - $106,415.52
