Summary of Position: The CRM Systems Coordinator serves as the subject matter expert for Western's CRM software by troubleshooting problems, implementing solutions, performing regular maintenance, and maximizing the efficiency of the CRM data and software to improve business processes.

This is a limited term position with an end date of September 30, 2028. This is a .75 benefit eligible position (30 hours/week). Schedule can be flexible Monday-Friday between the hours of 8:00am & 4:30pm. This is a hybrid eligible position that would allow for 1-2 days a week working from home after the training period.

Essential Functions

1. Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect. Regular attendance is required.
2. Perform office functions which may include, but are not limited to: respond to internal/external customers and staff; create and modify documents, records, and reports using College standard
software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.
3. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.
4. Student Success is the cornerstone of Western's culture and the college may assign employees as needed to other areas or additional duties to foster this success.
5. Technical Support and Analysis:
Supporting Action/Task May Include:

  • Problem solve user and software errors that inhibit the efficiency of the CRM.
  • Maintain the relationship owner model in the CRM by creating and maintaining TX Group assignments and managing user access and security
  • Perform end of term cleanup including but not limited to student stage and student type updates
  • Assist in development, creation, and deployment of system workflows/automations for a variety of use cases to enhance efficiency.
  • Troubleshoot errors between the CRM and Student Information System
  • Project manage day-to-day CRM projects; support the implementation, ongoing development and maintenance of all processes in the CRM.
  • Maintain and support enhancements of CRM third party vendors/add-ons
6. Data Management:
Supporting Action/Task May Include:
  • Import and manipulate data from various lists using Salesforce Data loader and Validity Demand Tools
  • Support the development of solutions to obtain new data through the CRM
  • Develop reports and data that support the Student Life Cycle and enrollment management goals, including department KPIs
7. Collaboration:
Supporting Action/Task May Include:
  • Facilitate conversations with users and departments to determine needs and provide process/procedure recommendations
  • Backup and support CRM team with communication, event report and dashboard development and maintenance

Qualifications

Minimum Qualifications:

  • Associate Degree in related field with 2 yrs. related occupational experience OR
  • Education in related field combined with related occupational experience totaling 4 years OR
  • Related occupational experience totaling 4 years
Preferred Qualifications:
  • Bachelor's degree in related field

Special Instructions/About Western

This position reports to: Welcome Center & Enrollment Systems Manager

Starting annual/hourly salary range based on education and experience: $52,214 - $68,282

This position would include competitive salary, along with a wide variety of benefits available to 30-hour a week positions for Western Technical College Employees.
