Description
Primary Purpose: Responsible to the President for a broad and complex set of assignments. Provides administrative support for all activities the President is involved in, acting independently and on behalf of the President and the bank in a manner that reflects the President's priorities and the bank's mission, goals, and values. Maintaining an overall standard of excellence for the staff as well as managing the personnel and other operations. Essential Responsibilities:
- Reviews and evaluates all requests and communications forwarded to the President and where appropriate, independently summarizes, responds, and/or redirects to the appropriate channel.
- Anticipates problems, critical issues, and opportunities as they arise and independently works to resolve them - advises President accordingly often handling sensitive issues that require confidentiality.
- Works directly with Human Resources and the President regarding employee issues, open positions, and inquiries within the VA/NE NC regions.
- Coordinates non-profit outreach and sponsorship contributions for Corporate.
- Reviews bills for payment and prepares the monthly reconciliation of the President's expense card and direct reports.
- Manages and coordinates the President's calendar and email.
- Prepares agenda for monthly President's Council meetings and takes minutes; follows up with issues requiring response or action as needed.
- Maintains regular correspondence with Regional Presidents to keep them informed of necessary issues.
- Manages one part of the Bank's incentive program for all Chairman's Club participants; prepares weekly summary reports for the Executive team to monitor lenders' performance.
- Prepares and coordinates Chairman's Club quarterly meetings and presentations.
- Assists the President in preparing annual reviews for Regional Presidents.
- Manages and maintains employee time records and vacation scheduling for all direct reports.
- Coordinates designated events during and after work hours.
- Handles sensitive issues that require confidentiality.
- Coordinates presidential initiatives and special assignments.
- Adheres to all applicable federal laws, rules, and regulations relating to Anti-Money Laundering (AML) including the Bank Secrecy Act (BSA).
- Perform other incidental and related duties as required and assigned.

- Demonstrated ability to evaluate situations, exercise independent judgment, and make recommendations/ decisions as necessary.
- Ability to use Microsoft Word, Excel, and Power Point
- Demonstrated experience managing a complex calendar.
- Strong oral and written communication skills.
- Excellent customer service skills and telephone manner.
- Flexible as demands and priorities change.
- Ability to work independently and as a team member
- Ability to exercise discretion, confidentiality, and judgment in dealing with sensitive issues.
- Ability to interpret and apply policies and guidelines effectively and accurately.
- Excellent time-management, prioritization, and organizational skills.
Desired Skills & Competencies:
- Strong computer skills in Word, Excel, and PowerPoint
- Strong skills in Microsoft Outlook & Webex Virtual Meeting Scheduling
- Experience in banking
- Two years of Administrative and/or Executive Assistant experience
Physical Requirements:
- Express or exchange ideas by means of the spoken word via email and verbally.
- Exert up to 20 pounds of force occasionally, use your arms and legs, and sit most of the time.
- Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation.
- Not substantially exposed to adverse environmental conditions.
