Overview

The Senior Administrative Assistant provides centralized administrative support to enable the effective execution of senior leadership priorities. This role operates in a fast-paced, high-demand environment and requires strong organization, discretion, and the ability to manage competing priorities across multiple stakeholders. The role assumes ownership of complex administrative responsibilities, requiring independent judgment in prioritizing work and determining appropriate actions based on business priorities across multiple leaders. Success in this role requires proactive workload management, sound judgment, and consistent execution in a dynamic environment. Reporting functionally to the Executive Assistant to the President & COO, this role plays a key part in ensuring leadership time is aligned to strategic priorities.


Responsibilities

    Prepare and refine presentations, reports, and meeting materials for executive leadership, ensuring alignment with key business priorities and coordinating inputs and deliverables from stakeholders to support decision-making discussions.
  • Coordinate comprehensive domestic and international travel arrangements, including travel documentation, detailed itineraries, accommodations, logistics, and time zone considerations, exercising judgment in anticipating and responding to changes to ensure seamless execution.
  • Manage complex calendars for multiple senior leaders by independently prioritizing requests, making scheduling decisions based on business impact and urgency, and communicating trade-offs and changes across stakeholders.
  • Prepare and submit expense reports on a regular cadence, ensuring accuracy, compliance with company policies, and timely completion, while identifying and resolving discrepancies as needed.
  • Partner with the Executive Assistant to the President & COO on leadership planning cycles and high-priority organizational initiatives, contributing to coordination and execution across multiple business priorities.
  • Provide administrative coordination for leadership meetings, initiatives, and events by independently determining priorities, managing logistics, and driving timely execution across multiple stakeholders and competing demands.
  • Identify opportunities to improve administrative processes and enhance efficiency across leadership support workflows, exercising discretion and independent judgment in prioritizing work, determining appropriate actions, and aligning efforts with evolving leadership needs.
  • Performs other duties as assigned

  • The wage range for this position is $71,110.00-$106,670.00 and may vary based on geography as well as relative knowledge, skills, abilities, and experience


Qualifications

Education
* Some College/Associate's Degree (required) or
* Bachelor's Degree in business administration, communications or related field (preferred)

Experience
* 3+ years of administrative support experience, preferably supporting senior leaders or executives (required)
* 5+ years of progressively responsible administrative support experience (preferred)

Knowledge, Skills, and Abilities
* MS Office (Excel, Word, Outlook,Sharepoint) High
* Ability to prepare and refine executive-level presentations to support leadership communication and decision-making High
* Ability to manage complex calendars and scheduling across multiple stakeholders Medium
* Strong communication skills with executive-level leadership, including written and verbal communication High
* Ability to coordinate domestic and international travel arrangements High
* Ability to manage multiple priorities, stay organized, and effectively prioritize assignments in a fast-paced environment High
* Ability to handle confidential information with discretion and professionalism High

Licenses and Certifications
* Certified Administrative Professional (CAP) - (preferred) or
* - Professional Administrative Certification of Excellence (PACE) within 1 Year (preferred)
