| Essential Job Duties |
The primary purpose of this position is to provide comprehensive administrative and financial support by managing invoice processing, maintaining accurate records, and ensuring effective communication with internal teams and external vendors.
Key Responsibilities
Administrative Support
- Oversee incoming mail operations, including date-stamping, scanning, and digitally archiving invoices to ensure accurate recordkeeping.
Financial Data Management
- Maintain detailed spreadsheets to audit voucher entries and accurately process invoices within the AiM system for billing purposes.
Cross-Functional Collaboration
- Partner with Project Managers to obtain and verify written payment approvals for goods and services.
Inbox & Tracking Management
- Monitor the group's financial inbox, ensuring all incoming invoices are promptly documented and logged in internal tracking systems.
- Review supplier statements and communicate proactively with vendors to obtain outstanding or missing invoices.
