ACC Operations Assistant - AllHealth Network

As an ACC Operations Assistant, you'll play a key role in supporting campus leadership and multidisciplinary teams by coordinating administrative operations, staffing logistics, and facilitybased processes that keep programs running smoothly. This role is ideal for someone who is highly organized, serviceoriented, and thrives in a dynamic healthcare setting.
What You'll Do
- Answer telephone calls, compose and/or respond to email messages and provide detailed responses to requests for information about AllHealth Network services.
- Maintain positive and professional working relationships with clients, peers, other agencies, and the general public.
- Perform clerical duties to include composing and typing routine correspondence and reports as requested, mail distribution, organizing work areas and reception area, name look-up, group and office room scheduling and filing.
- Maintain a clean and safe working environment that complies with HIPAA privacy requirements.
- Order supplies and materials as needed or notify person responsible for ordering supplies when inventory is low.
- Manage administrative aspects of civil commitment paperwork, to include maintaining Excel spreadsheets, coordination with court systems, and ensuring that paperwork is organized and accessible.
- Complete all required data entry, printing, photocopying, scanning and tracking according to established timelines.
- Support scheduling duties for all departments on campus, including:
- Daily review of staffing levels and needs
- Fill staffing gaps in schedule due to PTO or other absences
- Support finding coverage for openings when there are last minute call offs
- Reach out to PRN staff as needed per guidance of managers.
- Notify supervisor of scheduling needs and/or requests in a timely manner in order to ensure adequate staffing coverage
- Auditing client packets to ensure all discharge plans are printed. Ensuring client, nurse and case managers have signed all documents.
- Order and re-stock literature and other flyers and pamphlets from the marketing department. Keep bulletin boards full of current information for staff and clients.
- Places facilities and IT tickets facility and staff.
- Maintains all display boards at the ACC and licensure boards at the ACC
- Keep security Post orders updated at all times
- Maintain the vehicle logs and binder. Will also track if vehicle needs maintenance
- Oversee client feedback/suggestion boxes in WIC and ATU
- Maintain invoices from all deliveries
- Assist operations manager with building safety/environmental walks
- Obtain BHT safety checks from previous week and enter data onto the Safety Audit checklist for QAPI
- Monitor safety checks and provide feedback to BHT Team Lead
- Assists monthly inspection and inventory of all radios/walkie talkies
- Assists with taking an inventory of all orders received and storing them in the designated locations.
- Assists with maintaining and managing all donations; monthly inventory to inspect donations are appropriate for the units
- Assist with tracking overtime for the ACC and provides management for department feedback for any repeat offenders.
- Assist with all inventory management to include and not limited to organizing, accurate on-hand report, labeling and removing any expired items.
- Assist with maintaining all first aid kits, spill kits, Narcan and all other emergency kit supplies.
- Daily chart temperature for all breast milk refrigerators.
- Assist with maintaining and issuing building keys for new hires and retrieving them when staff is no longer with the agency.
- Assist with monitoring and auditing of linen and scrub replenishment and inventory levels.
- Assist leadership with special projects and initiatives to support the program's mission and goals
- Complete all required paperwork accurately, completely, legibly, and within established timeframes
- Monitor and respond to calls/voicemails out line in a timely manner during scheduled work hours
- Expected to demonstrate internal customer service focus with high reliability and exceptional organizational skills to track and report staffing patterns and needs.
- Take appropriate action using critical thinking skills and decisive judgement with minimal supervision.
What You Bring
- High school diploma or equivalent, with specific training in business / secretarial sciences
- Minimum of three years of office experience. Data entry and word processing knowledge is required.
- Typing at 50 wpm, 10-key calculators by touch, and filing. Familiarity with multiple-line telephone systems, voicemail, copiers and fax machines. Computer literacy required.
- Ability to clearly communicate in written and oral forms.
- Ability to lift equipment and supplies up to 15 lbs.

Position Details:
Part-Time - 7:30 am - 12:30 pm Monday-Friday preferred Flexible Acute Care Services Littleton, CO
Compensation:
$21 - $25
The base salary range represents the low and high end of the AllHealth Network hiring salary range for this position. Actual salaries will vary and may be above or below the range based on various factors including but not limited to experience, education, training, merit, and the ability to embody the AllHealth Network mission and values. The range listed is just one component of AllHealth Networks' total compensation package for employees. Other rewards may include short-term and long-term incentives as well as a generous benefits package detailed below.
