Position Summary
The American Museum of Natural History is one of the world's preeminent scientific and cultural institutions, and has as its mission to discover, interpret, and disseminate information about human cultures, the natural world, and the universe through a wide-ranging program of scientific research, education, and exhibition.

The Events & Conferences department ( ECS) is seeking a full-time Event Scheduling and Resource Manager to manage the Museum's scheduling database, produce Museum-wide schedules and calendars and coordinate requirements for internal meetings. ECS fields a high volume of requests for space usage throughout the Museum campus (including exhibit halls, classrooms, theaters and conference rooms) and the Manager is the primary point of contact for all requests. The Manager uses the Museum's booking management software to assess and reserve space and personnel requests. They also collaborate with internal partners to coordinate meeting and program needs, including food and beverage, AV, facilities, security and mover support, and conduct checks of event and program spaces prior to programs to ensure they are adequately prepared.

Job duties include, but are not limited to:

  • Manage meeting/program/event requests from internal clients. Respond to a high volume of requests in a timely and accurate manner.
  • Assign and schedule meetings/programs/events based on space and resource availability. Manage, organize and input data into booking management software.
  • Participate in daily calendar review meetings.
  • Analyze space usage and produce various space usage reports.
  • Produce and distribute Museum-wide weekly schedule and long-term calendars.
  • Support departmental operations and administration.
  • Collaborate with internal clients to facilitate all logistics for meeting and programs including room setup, catering, AV, security and facilities. Create and disseminate service orders to appropriate service providers. Ensure event service orders are accurate and delivered on time. Reconcile expenses.
  • Provide hands-on oversight of event and program spaces, including inventory management, verifying space configurations and confirming all program requirements are met.
  • Maintain a work schedule that includes early mornings, evenings, weekends and holidays.


The expected salary range for the Event Scheduling and Resource Manager is $70,000/annual - $75,000/annual. The AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.

Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.
Minimum Qualifications

  • High School Diploma or equivalent.
  • Three years experience coordinating meetings, including professional experience working with food and beverage services, venue scheduling and operations, event planning and/or hospitality.
  • Experience with CRM/Event Management software.
  • Excellent computer skills, including proficiency in Microsoft Office Suite (Outlook, SharePoint, Teams, Word, Excel and PowerPoint).
  • Excellent writing and communication skills.

Preferred Qualifications

  • Bachelor's degree in hospitality.
  • Experience at a nonprofit or cultural institution.
  • Proficiency in Momentus booking management software.

Physical Demands

  • Must be able to remain in a stationary position (sitting or standing) for prolonged periods.
  • Must be able to move about the Museum campus.
  • Positioning/change of positioning: Must be able to frequently position oneself/body to accomplish job duties.
    • Exerting up to 50 pounds of force occasionally and up to 20 pounds of force frequently. May include any of the following:

      • Pushing: Using upper extremities to press against something with steady force to thrust forward, downward or outward.
      • Pulling: Using upper extremities to exert force in order to drag, haul or tug objects in a sustained motion.
      • Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position-to-position.
