Job Overview:


Air Dimensions Inc (ADI), a subsidiary of Ingersoll-Rand, Inc since 2021. is seeking a motivated and detailed oriented Customer Service Rep for our Deerfield Beach, FL office. For more than 40 years, ADI has designed and manufactured specialized oil-free, contamination-free, and leak-free diaphragm gas pumps and compressors for industries like petrochemical, environmental, and power generation with high-precision, durable sampling pumps for hazardous and safe areas.

The Customer Service Representative is an integral part of a dynamic and a highly communicative cross-functional team environment working together to build a premier customer experience. This position involves detailed interaction with internal and external customers working closely with the commercial, operations and finance teams. High level responsibilities will include entering orders, preparing/issuing quotes, answers phone & door, supporting the production planning list, following up on accounts receivable with customers, prepares and files commercial documentation, answer internal and customer queries on status of orders, returns, discrepancies and determines what corrective action should be taken. It involves communicating clearly with all internal departments and customers outside the company daily.

Responsibilities:


  • Orders: Manage, updates and enters orders into ERP system.


  • Communicate with customers via email, Sales Force or telephone regarding open orders, technical information and support in understanding the product.


  • Files and posts purchase orders. May determine inventory shortages, delivery dates, communicating this information to customers or distributors. May update jobs on the production schedule.


  • Sales Calls: Responds to customer or distributor questions on order status, discrepancies in billing or delivery, determining appropriate corrective action.


  • Accounts Receivable: Follow up and close open collections, communicating with customers, Researching and reconciling financial and accounting issues, like deductions and credits for major retail accounts. Validating and processing check requests, credits, refunds, or adjustments from major retail accounts.


  • Issues return material authorizations (RMA). Distributes accordingly, ensuring capture of warranty information. Create and understand the credit and debit process for returns, damaged freight, pricing and various other issues.


  • Create freight claims for damaged or lost shipments


  • Help resolve accounts receivable issues related to shipping, pricing, etc.


  • Quotes: Generates quotes in system and provides them to customers and prospects. Follows up with open quotes for which orders are not posted


  • Customer Information: Helps develop system information for customers, distributors and updates information as necessary (such as contact name, phone number, and email). Coordinates reports of customer service activities.


  • Credit memos: Reviews credit memo requests and issues accordingly in compliance with internal processes.


  • Assists with report preparation and filing of documents as needed


  • Acts as a backup to coordinate customer portals, ensuring accurate data entry, document uploads, and compliance with customer requirements when primary person is unavailable.


  • Complete special projects and perform other duties as assigned.





Requirements:



  • High school diploma or GED required.


  • 3+ years' experience in customer service in a manufacturing environment is required.




Core Competencies:



  • Prior experience with order processing or order entry required.


  • Ability to interface with staff at many levels in corresponding departments i.e. Operations, Engineering, Shipping, Sales, etc.


  • Ability to provide First Class Customer Service & Support by e-mail and phone


  • Ability to handle multiple tasks in an efficient and professional manner


  • Excellent written and verbal communication skills with the ability to handle internal and external contacts in a positive, assertive and effective manner is required


  • Able to interact and coordinate with internal company resources and vendor resources to resolve issues for customers and distributors


  • Robust analytical skills to aid in assessing customer needs coupled with the ability to solve problems will enhance the incumbent's performance


  • Some mechanical aptitude and a knowledge of our products will be required


  • Must possess intermediate MS Office skills, including Word, Excel, and PowerPoint.



Preference:



  • Associates or higher degree in Business Administration preferred.


  • Sales Force knowledge a plus
