Hotel Sales Coordinator/Front Desk Agent Overview

The Hotel Sales Coordinator supports the sales team in driving revenue, strengthening client relationships, and ensuring smooth execution of group bookings, events, and corporate accounts. This role blends administrative precision with warm, guest-focused communication, making it essential to the hotel's commercial success.

Key Responsibilities ?? Sales Support & Administration
  • Assist the sales team with daily operations, including preparing proposals, contracts, and event orders.

  • Maintain accurate records in the hotel's CRM or sales system.

  • Coordinate site tours, client meetings, and follow-up communications.

  • Track leads, inquiries, and booking activity to support sales goals.

  • Make outside sales calls to various businesses.
  • Time will be split between working sales and helping at the front desk as a front desk agent.
?? Client Relations
  • Serve as a primary point of contact for clients during the planning process.

  • Respond promptly to inquiries, providing detailed information about hotel services, rates, and availability.

  • Build positive relationships with corporate clients, event planners, and travel partners.

?? Event & Group Coordination
  • Support the planning and execution of group blocks, meetings, and special events.

  • Communicate event details to internal departments (banquets, front desk, housekeeping, F&B).

  • Ensure all client needs are documented and delivered accurately.

?? Reporting & Revenue Support
  • Assist with weekly and monthly sales reports.

  • Monitor room block pick-up, deadlines, and attrition.

  • Help identify upsell opportunities and support revenue-driving initiatives.

Qualifications ?? Education & Experience
  • High school diploma required; associate or bachelor's degree in hospitality or business preferred.

  • Previous experience in hospitality, sales, or customer service is a plus.

?? Skills & Competencies
  • Strong organizational and multitasking abilities.

  • Excellent written and verbal communication skills.

  • Proficiency with Microsoft Office and hotel sales systems (Delphi, Opera, etc., if applicable).

  • Professional, friendly, and service-oriented demeanor.

  • Ability to work collaboratively in a fast-paced environment.
