Creative Operations Coordinator

Reports To: US Creative Leads (AVP)


Role Overview

The US Creative Team is seeking a Freelance Creative Operations Coordinator to champion promotional and digital creative initiatives while streamlining day-to-end operations. This role is the connective tissue of the department, ensuring projects move efficiently from initial briefing through final delivery.

The ideal candidate is a highly organized, detail-oriented professional who thrives in a high-volume, fast-paced environment and excels at navigating complex stakeholder landscapes.


Key Responsibilities
Project Tracking & Workflow Coordination

  • End-to-End Oversight: Support the coordination of timelines and complex workflows for diverse promotional and digital creative workstreams.
  • Schedule Management: Maintain comprehensive project trackers and creative calendars to ensure all milestones are achieved on schedule.
  • Asset Monitoring: Audit production timelines for creative assets, ensuring all deliverables progress according to established project roadmaps.
  • Strategic Partnership: Collaborate closely with Art Directors to prioritize tasks, manage daily outputs, and maintain momentum on high-priority deadlines.
  • Risk Mitigation: Proactively identify potential timeline bottlenecks and resource constraints, flagging issues to Creative Leads to ensure timely resolution.
  • Project Integration: Attend project kick-off meetings to synthesize requirements, capture technical details, and ensure all necessary assets are identified and tracked.


Cross-Functional Communication

  • Interdepartmental Liaison: Serve as the primary point of contact between Creative, Brand Marketing, Brand Activation, and Digital/Omnichannel teams.
  • Approval Management: Facilitate the feedback loop, coordinating stakeholder approvals to maintain project velocity.
  • Strategic Alignment: Ensure universal clarity across all teams regarding project scope, deliverables, and shifting priorities.


Operations & Team Support

  • Departmental Infrastructure: Provide high-level operational support to the US Creative Team, including office supply management and equipment procurement.
  • Physical Logistics: Manage creative room organization, freight shipments, storage logistics, and the preparation of high-stakes presentation materials.
  • Ad Hoc Project Support: Assist with the logistical execution of photoshoots, sales meetings, and major retailer activations.


Vendor Coordination

  • External Partnerships: Assist in managing external vendors for outsourced creative projects, ensuring quality and brand consistency.
  • Performance Tracking: Monitor vendor timelines and deliverables to ensure they align with internal project schedules.
  • Point of Contact: Act as the internal lead for vendor inquiries and sourcing-related logistics.


Qualifications

  • Experience: 3-4 years of experience in project coordination, creative operations, or marketing operations within a creative or agency environment.
  • Industry Knowledge: Prior experience supporting retail, beauty, or consumer goods brands is highly preferred.
  • Technical Acumen: Proficient in Microsoft Office Suite and modern project management software (e.g., Asana, Monday.com, or Workfront).
  • Operational Excellence: Exceptional organizational and time-management skills with a proven ability to juggle multiple high-priority workstreams.
  • Communication: Strong interpersonal skills with the ability to collaborate effectively across diverse functional teams.
  • Problem-Solving: A detail-oriented mindset with strong follow-through and the ability to find creative solutions to logistical challenges.
