SLSCO, LP is seeking a New York City-based Document Control Specialist to join our growing team. The Document Control Specialist is responsible for assisting the Document Control Manager in managing, organizing, and controlling all Design-Build-related documents throughout the project lifecycle. This role ensures that project documentation is accurate, up-to-date, accessible to all stakeholders, and compliant with the requirements of the Design-Build Agreement. As Document Control touches all aspects of the project, the Document Control Specialist works closely with everyone on the Design-Build teams, as well as the clients and their project management teams, and other stakeholders to facilitate the workflow, organization, and tracking of project documentation, and to ensure that project deliverable milestones are met.

The Key Responsibilities are as follows:

Document Management:

  • Oversee the receipt, distribution, and storage of all Design-Build documents, including drawings, specifications, RFIs (Requests for Information), submittals, transmittals, and other document types
  • Maintain the project Electronic Document Management Systems (EDMS), ensuring easy access, retrieval, and secure storage of documents. Interface with the Client's proprietary electronic document management systems.
  • Implement and Manage workflows to ensure accountability of workflow participants, and that deadlines are being met.
  • Effect real-time process improvement when necessary.

Version Control:

  • Ensure all Design-Build documents are up-to-date and reflect the latest revisions.
  • Track and log document revisions and amendments to ensure project teams are working from the most current documents.

Communication, Coordination and Training:

  • Serve as the secondary point of contact for document-related queries (primary being Document Control Manager), ensuring quick resolution of issues related to document access or accuracy.
  • Maintain effective communication with Design-Build teams, subcontractors, and clients, regarding document status and updates.
  • Train members of the project teams, and new hires on basic document control processes, expectations, and workflows

Data Entry & Reporting:

  • Input and update data in internal and external EDMS environments.
  • Generate reports for project managers, leadership, or other stakeholders as requested, providing insights into document status, issues, and timelines.

Experience and skills:

  • Experience in Document Control on Construction projects
  • Proficiency with MS Office, especially Excel
  • Experience using Procore and/or Autodesk Construction Cloud
  • Organized, meticulous, and detail-oriented
