We are looking for an Executive Assistant that will directly support the CEO, CAO, COO, and Corporate Founder and provide additional support as required for the CFO and General Counsel. This position represents the face of the executive team and is the first impression to employees, company leaders, customers, and Government officials. You will be required to manage business related tasks for the team by creating reports, researching a broad range of topics, organizing travel and accommodations, taking minutes, as well as other organizational tasks. This role requires a detailed understanding of the full Microsoft Office suite, past experience as an executive or administrative assistant, flexibility and problem solving expertise.

PRIMARY DUTIES - RESPONSIBILITIES:

    Optimizing executive's time and efforts by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications
  • Maintaining executive's calendars, regularly arranging meetings, conferences, teleconferences, appointments, and travel
  • Organizing multiple attendee management meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Representing the executive by attending meetings in the executive's absence and speaking for the executive
  • Taking minutes during meetings
  • Making travel and accommodation arrangements and preparing and tracking expense reports for multiple individuals
  • Researching information on a broad range of topics and provides input for solution development
  • Consolidating data to prepare documents for review and presentation by boards of directors, committees, and executives
  • Drafting, editing, and formatting correspondence, memos, newsletters, presentations, reports, and all-hands emails for grammar, style, and fact checking
  • Dealing with all levels of the organization and key customers with a high level of tact and diplomacy
  • Answering phone calls in a polite and professional manner ascertaining where calls can be best directed and addressed
  • Providing information to callers, which requires a comprehensive knowledge of company policies, practices and operations
  • Welcoming guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries
  • Opening and reviewing all mail directed to superiors. Composing responses to routine inquiries, delegates' items to subordinate managers, and forwards appropriate items to superiors
  • Performing minor accounting duties
  • Providing historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions
  • Organizing and maintaining the office filing system with correspondence stored in digital format
  • Converting paper-based filing system to digital files
  • Following administrative, confidential, and sensitive data guidelines in maintaining the security of company proprietary and classified information
  • Maintaining customer confidence and protecting operations by keeping information confidential
  • Staying up to date on new applications and processes through training courses and self-study


Requirements

  • Bachelor's degree and a minimum of five years' of analyst or administrative experience with at least three years' at the Executive level preferred
  • A high level of proficiency in computer applications including Outlook, Word, Excel, PowerPoint, SharePoint, and others
  • Experience managing multiple calendars
  • Experience booking travel
