Founded in 1953, Hudson Valley Community College (HVCC) located in scenic Upstate NY is a multi-campus College with locations in Troy and Malta, New York. Position Summary:
The Executive Assistant to the President reports to the President of the College and assumes responsibility for administrative and office management outcomes corresponding to the President's Office. Responsibilities include the management of correspondence and participation in the development and review of institutional policies and procedures. Serves as a liaison with campus offices and as a resource to both internal and external constituencies. Assists with matters which are confidential in nature. Exercises independent judgment with respect to access to the President.

Minimum Qualifications:

Master's degree from an accredited college or university and at least three (3) years of office management experience in support of a senior level administrator or executive; thorough knowledge of office practices, software and systems; ability to communicate effectively with all campus constituents and the public; working familiarity with management principles at organization-wide level (planning and resource allocation, human resources, project control, etc.).

Supervisory experience and demonstrated familiarity with post-secondary educational administration preferred.

Nature and Scope of Duties

* Manages the operations of the Office of the President and coordinates and supervises all clerical staff assigned to the Office.

* Screens calls, visitors and correspondence directed to the President, using judgment in referring requests to appropriate individuals and/or provides appropriate responses on matters which do not require the President's personal attention.

* Keeps President advised on scheduling and progress of various periodic reports essential to the operation of the College, including preparing reports for SUNY, Middle States Association, the Sponsor, and the Board of Trustees; ensures institutional responses by established deadlines and assists with matters which are confidential in nature.

* Assists in the planning and coordination of campus activities (e.g., Middle States Evaluations, State Education Department Visits, Commencement) and the development of institutional policies and procedures, responsible for protocol in relation to College functions.

* Leads projects, formal functions, and/or committees at the direction of the President.

* Takes, transcribes, distributes and files meeting minutes as needed.

* Manages President's appointments and activities; supervises travel requirements.

* Communicates information, requests and actions to appropriate individuals on behalf of the Office of the President.

* Develops the budget of the Office of the President and Board of Trustees; supervises petty cash account.

* Researches and summarizes information and supporting data in preparation for meetings, projects, speeches and reports; correlates, edits and organizes materials to be presented in draft.

* Directs the maintenance of the departmental Advisory Committees' database and plans and directs the annual Advisory Committee reception.

* Performs other duties as may be assigned by the President.
