SUMMARY:
Under the supervision of the Administrative Coordinator is responsible for the day-to-day administrative functions of the Clerkship in Medicine and the Case Management Utilization Review.
The Clerkship/UR Specialist provides administrative support to the Department Administrative Coordinator, Clerkship Director and Medical Director of Clinical Management and serves as a liaison between attending physicians, residents, fellows, medical students, and institutional and regulatory administrative offices.

RESPONSIBILITIES:
Clerkship:
Update goals and learning objectives/orientation materials. Recommend any curricula changes based on independent research of the National Guidelines. Research and make recommendations for new technologies, e.g., distance learning courseware.
Create complex schedules for up to eleven students. Maintain department's student website and online course directory. Use software and web-based tools to manage the clerkship.
Develop Objective Structured Clinical Examination questions (OSCE), proctor National Board of Medical Examiners Subject Examination, and prepares schedule for evidence-based learning exercises.
Reinforce grading policies with students and administration when issues arise. Prepare evaluation summary for each student and participate in final grade process and maintain grading database. Notify students and school of medicine of final grades.
Act as liaison between the director and school travels to various locations to prepare the recruiting faculty to teach and precept, by going over departmental objectives. Advises affiliated faculty and staff on how to obtain and manage clerkship objectives.
Coordinate agenda, prepare materials and participate in yearly retreats and quarterly meetings. Prepare yearly performance reports, awards, for faculty and residents.
Coordinate and oversees Clerkship curriculum. Act as the go to person for problem resolution when needed from other Clerkship sites. Attend monthly Clerkship Coordinator meetings.
Assist director in working with the school to develop online programs. Monitors Liaison Committee on Medical Education (LCME) requirements and maintains the appropriate database(s) to fulfill these changes by building new requirements into the curriculum as needed.
Identify students who appear to be experiencing difficulty (poor attitude, lack of commitment, frequent absences) notifies the clerkship director of concerns. Provide coaching to students at risk. Maintain documentation on student difficulties and advise site on procedures.
Meet with students who are applying to internal medicine residency programs. Reviews student rotation evaluations, pulls relevant documents and summarizes student skills for appropriate content when coordinating the letters of recommendation.
Utilization Review
Audits chart in accordance to Medicare/Medicaid rules and regulations. Interpret Charts that are not in compliance by way of validating if necessary against the Medicare/Medicaid website regulations. Identify those that need a letter generated to Patient Financial Services, the ordering provider, and the attending of record. Determines attending of record and the ordering provider, reads and interprets a patient chart, to generate the appropriate form letter, according to the rule that has been violated. Coordination of the appeals/denials must be made with the RNs in the Appeals Department. Keep up to date with the CMS guidelines and references appropriate CMS rules/regulations.
Possess strong verbal and written communication skills when communicating on behalf of the Director of Clinical Management and may include interactions with: Patients, RN case managers, RN utilization reviewers, Director of Case Management, Chief Medical Officer, Legal Counsel - including Administrative Law Judges, Attending physicians, Chairs of Departments, Insurers (i.e., United Health Care), VP of Finance, Auditors, including the OIG, CMS MAC/RAC representatives, etc.
Performs other duties as necessary.
MINIMUM QUALIFICATIONS:
BASIC KNOWLEDGE:
Associates required. Bachelor's preferred.
EXPERIENCE:
Three to five years functioning in an analytical position based in a minimally supervised, multi-task healthcare environment.
Past Clerkship Coordinator/ Utilization Review or Medical office experience required.
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:
Normal office environment.

Pay Range:

$24.60-$25.18
