The Opportunity

We are seeking a Project Assistant, Business Development & Marketing (Fixed Term) to join our Firm. This position will be based in our Chicago office (hybrid). The Project Assistant provides broad-based support for business development activities within the Business Development & Marketing department with a focus on Chicago-based practices and partners. Assists with the preparation and tracking of pitches, proposals, RFPs, and other business development materials. Helps collect and organize experience information, supports the creation of relevant awards and recognition and supports client-focused activities, such as firm-sponsored events, industry sponsorships, and conferences. Supports communications-based projects and other relevant activities.

  • Supports the Business Development & Marketing team by assisting with a variety of tasks across the department with a focus on Chicago-based practices and partners.
  • Helps track business development initiatives and materials, including:
    • Collects and organizes information related to business development plans and budgets.
    • Helps create, maintain, and update marketing materials, such as brochures, one-pagers, PowerPoint presentations, attorney bios, experience lists, and newsletters.
    • Assists with compiling research reports for business development opportunities.
    • Assists in tracking the progress of business development initiatives, events, and webinars.
    • Helps monitor pitch and proposal activities and follows up with team members to gather feedback and outcomes.
    • Assists with compiling and updating practice matter experience in the firm's credential database.
    • Provides support to the pitch requests, including helping to prepare and coordinate RFPs, proposals, and pitches for new business opportunities.
    • Works with the Experience team to help gather and refine matter descriptions.
    • Assists the Marketing team with updating and maintaining firm mailing lists for events and client communications, including data entry and research.
  • Provides assistance for internal and external events as needed.
  • Works with the Strategic Intelligence team to help generate reports on clients, prospective clients, industry trends, and competitive intelligence.
  • Assists the Marketing Communications and Social Media team in promoting the firm, practice, and attorneys.
  • Uses the firm's CRM and experience databases to help identify relationship targets and relevant experience for business development opportunities.
  • Demonstrates strong interpersonal, written, and verbal communication skills to support effective teamwork.
  • Uses firm resources responsibly.
  • Maintains a regular and reliable presence in the office as required.
  • Follows firm policies and procedures.
  • Performs other related duties as assigned.

Qualifications

  • Knowledge of relevant Firm computer software programs (e.g., Outlook, Word, Excel, PowerPoint), with the ability to learn new software and operating systems
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Ability to handle multiple projects and shifting priorities
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to organize and prioritize work
  • Ability to work in a demanding and fast-paced environment
  • Ability to work well independently as well as effectively within a team
  • Ability to use discretion and exercise independent and sound judgment
  • Demonstrates flexibility, dependability, and time management skills to support multiple departments
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Education and Experience

  • Bachelor's degree
  • Minimum of two years of related administrative or secretarial experience in a law firm or professional services environment.

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

Salary Details

$65,000 - $75,000
