Job Description Summary

The Marketing Operations Manager will be responsible for facilitating the operational execution of promotional marketing materials and tactics throughout the entire Promotional Materials Management lifecycle for branded and non-branded materials. This role is responsible for ensuring efficient, compliant processes for approval, publishing, and distributing of promotional materials through the Promotional Review Committee (PRC) and subsequent processes. Works closely with regulatory, labeling, legal, medical, compliance and key business stakeholders on PRC reviewed projects. Works collaboratively with brand marketing and advertising agencies on assigned projects.

The role's primary responsibilities include day-to-day management and support in the facilitation, governance, planning and prioritization of the promotional review process for all brand teams across multiple business units internally, while also working externally with multiple agencies and managing the delivery and performance of service providers. This includes management oversight and documentation of all deviations (expedited reviews and exception due to processing timeframes) from the standard process.

This role will assist Marketing Operations leadership in setting direction and introducing new and/or improved processes and tools to drive and maximize the commercialization of products and services by driving efficiencies in the end-to-end promotional marketing materials business process while ensuring compliance with internal and external regulations.

Job Description

ESSENTIAL FUNCTIONS:

  • Oversees project management, deadlines, reviews, and approvals for printed/digital materials of responsibility.

  • Collaborates cross-functionally with marketing, medical, legal, regulatory, compliance and communication departments and agency partners to ensure project deadlines are managed.

  • Schedules PRC meetings and creates PRC meeting agendas, triaging and record-keeping for products/projects as assigned.

  • Works with external creative resources to ensure that project deliverables are in line with company standards.

  • Assists Associate Director of Marketing Operations - PRC with marketing operation projects and initiatives as needed.

  • Ensures all promotional materials are properly prepared prior to sending to Regulatory

  • Supports process streamline improvement initiatives and consistently seeks new and innovative methods to improve the PRC process across all functional teams.

MINIMUM REQUIREMENTS:

  • Education: Bachelor's degree in Communications, Business, Marketing, Advertising, English or related field strongly recommended.

  • Relevant work experience if no degree.

  • Experience: Seven or more years of relevant experience in marketing, communications, advertising agency, or other project management driven environment. Experience specifically in responsibility for position is highly desirable.

  • Work in Pharmaceuticals or regulatory driven marketing experience preferred.

  • Familiar with FDA guidelines, OPDP submissions and staying current on industry trends and regulatory guidelines are important.

Skills/Qualifications:

  • Strong demonstrated knowledge, experience and understanding of Regulatory and Legal environment within the pharmaceutical industry, including prior promotional/regulatory review experience.

  • Excellent organizational project management, organization, interpersonal, written, and verbal communications, presentation, problem solving, and decision-making skills.

  • Ability to work in a fast-paced, deadline-driven environment.

  • Capacity to work well with a diverse set of personalities and departments at all levels of management.

  • Must have ability to multi-task with strong attention to detail and be adaptable to change.

  • Strong team player who can work independently.

  • Ability to assess and mitigate risks for company's commercial success where mistakes that could have marked negative impact on company business and reputation.

  • Must be proficient in Veeva PromoMats, Microsoft Office (Excel, PowerPoint, Word, Outlook) and Adobe Pro.
